Job Summary
The Office Assistant plays a vital role in supporting the administrative functions of the outpatient clinic. This position requires excellent organizational, communication, and multitasking skills to ensure smooth operations and provide exceptional customer service to patients and visitors. The Office Assistant will work closely with the administrative team, medical staff, and other departments to facilitate efficient clinic processes and maintain a welcoming and organized environment.
Responsibilities
Patient Reception:
- Greet patients and visitors warmly, providing a welcoming and compassionate environment.
- Check-in patients, verify personal and insurance information, and provide necessary forms.
Appointment Scheduling:
- Schedule and confirm appointments, utilizing scheduling software and maintaining an organized calendar.
- Coordinate with healthcare providers to ensure smooth patient flow and optimize scheduling efficiency.
- Telephone/Web and Communication:
- Answer phone calls promptly and professionally, directing inquiries to the appropriate staff members.
- Provide information to callers about services, insurance, and general inquiries.
Patient Check-Out:
- Collect co-pays, process payments, and issue receipts accurately.
- Schedule follow-up appointments and provide patients with relevant information for their next visit.
Patient Records and Documentation:
- Enter and update patient information in the electronic health record (EHR) system accurately and efficiently.
- Maintain organized and up-to-date patient files, ensuring compliance with documentation standards.
Insurance Verification:
- Verify patient insurance coverage and eligibility, communicating any discrepancies or issues to the appropriate staff.
Customer Service:
- Provide exceptional customer service, addressing patient concerns, answering questions, and offering assistance.
- Create a positive and supportive experience for patients, ensuring their comfort and satisfaction.
Office Management Support:
- Assist with administrative tasks such as filing, data entry, and maintaining office supplies.
- Collaborate with the administrative team to ensure smooth office operations.
Requirements
- High school diploma or equivalent (associate degree or certification in a related field is a plus).
- Proven experience in direct customer service roles.
- Proficient in using office software, such as Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and time management skills with the ability to prioritize tasks.
- Excellent verbal and written communication abilities.
- Ability to handle confidential information with discretion.
- Familiarity with medical terminology and electronic health record (EHR) systems is a plus.
- Strong attention to detail and organized.

Pay: $18.00 - $22.00 per hour
