We are looking to hire a part-time medical legal administrative assistants with exceptional administrative skills. Medical legal administrative assistants are expected to work comfortably under pressure with deadlines in a fast-paced environment. This position is in person and not remote. The hours are approximately 12- 16 hours/week, Monday, Tuesday and Thursday from 10:00am - 2:00pm. This is an ideal entry level position for evening students, parents, or those who are looking for part-time work. You will gain experience in how attorneys and insurance companies interact with medical expert witnesses.
To ensure success, the medical legal administrative assistant should be detail-oriented, exercise sound judgment and must have exceptional written and verbal communication skills with a keen interest in providing purposeful support. Top candidates will ideally be familiar with key medical and legal terminology and principles and possess incredible accuracy, strong IT skills and excellent time management.
Legal Administrative Assistant Responsibilities:
· Maintain and update databases and tracking systems, specifically maintain logs of case information, depositions, and trials.
· Daily record keeping with electronic and hard copy filing of documents.
· Obtain relevant information from law firms and insurance agencies.
· Create and organize information and generate reference tools for easy use by the office.
· Respond to case-related queries.
· Ensure efficient and effective administrative information and assistance.
· Answer and transfer telephone calls professionally and take messages.
· Prepare electronic files for depositions.
· Proactively confirm teleconferences, depositions, and trials.
· Respond to emails in a timely fashion and create follow-up lists.
· Main liaison with the office management for safety procedures and documentation.
· Order office supplies and replace toner in printer/fax/copier machine.
· Assist in filling out paper for renewing licenses for the doctor.
· Administrative duties as assigned.
Legal Administrative Assistant Requirements:
· Superb organizational skills and detail oriented.
· Ability to work under pressure and meet deadlines.
· Ability to work independently and as part of a team.
· Brilliant written and oral communication skills.
· Systematic knowledge of databases and tracking systems.
· Proficient in Microsoft Office for scheduling, in Dropbox and ShareFile for downloading imaging and records, ability to learn PAC’s imaging software.
Desirable but not required:
· Experience in a medical and/or legal environment.
· Bachelor's Certificate in Law, Paralegal Certificate, or related administrative degree.
· Ability to grasp and interpret legal and medical documents.
