The principal is the owner of business in West Hollywood, CA involved in the entertainment field. He is looking for a personal assistant able to handle multiple areas of responsability, obssessively detail oriented and organzied, able to work slightly un orthodox hours -- from 1 to 8PM three days a week on site, and familiar with Apple products and Quick Books software.
**Job Overview:**
We are seeking a highly organized and detail-oriented Executive Assistant to provide administrative support to our principal. The ideal candidate will be proactive, resourceful, and able to handle a wide range of responsibilities with efficiency and professionalism. Work schedule will be Monday/Wednesday/Friday 1 PM to 8PM on site.
**Duties:**
- Manage executives' calendars, including scheduling meetings, appointments, and travel arrangements
- Coordinate and organize internal and external meetings, conferences, and events
- Assist in preparing reports, presentations, and correspondence
- Handle incoming and outgoing communications on behalf of the executives
- Maintain office files and ensure proper documentation and record-keeping
- Provide exceptional customer service to internal and external stakeholders
- Assist with project coordination and follow-up on action items
- Conduct basic proofreading tasks to ensure accuracy in documents
- Demonstrate excellent phone etiquette when interacting with clients, partners, and colleagues
- Perform various clerical tasks as needed to support the executive team
**Skills:**
- Proficiency in QuickBooks for financial tracking and reporting
- Strong customer service skills with a focus on meeting stakeholder needs
- Strong attention to detail
- Proficient in office software applications for efficient task completion - MUST be Apple savvy as all programs run on apple computers and software
- Excellent file management skills for organizing documents effectively
- Keen eye for detail when proofreading documents for accuracy
- Professional phone etiquette when communicating with internal and external contacts
- Strong clerical skills to assist in day-to-day administrative tasks
- Prior experience in support for private client is a plus
