Primary Function: The Pet Adoption Center Administrative Clerk performs a variety of clerical and administrative tasks to support the overall operations of the Pet Adoption Centers.
Essential Duties and Responsibilities:
- General office and administrative duties, including but not limited to, accurate data entry, filing, photocopying and data collection to ensure availability of updated records.
- Accurately input information and maintain updated records of incoming animals, impound notices, sterility certificates, medical records, bite report information, and other relevant information in the database.
- Prepare and distribute necessary paperwork for intake, animal adoptions, fostering, and transfers.
- Work the front counter assisting the public with intake of animals, animal adoptions and owner redemptions.
- Assist with general cat cleaning as needed.
- Provide excellent customer service when answering telephone/emails or in person inquiries pertaining to all Pet Adoption Center operations.
- Take animal intake photos to upload into database and print card for animal(s) kennel.
- Update animal(s) kennel locations in shelter database as needed.
- Email weekly spay & neuter schedules to clinics and send appointment reminders to adopters.
- Follow up with clinics to ensure adopters showed up for their appointment and note results in SL.
- Maintain a high level of communication and work collaboratively with all personnel in a manner that is consistent with the spcaLA’s policies.
- Perform other duties, as necessary to improve the functioning of the Department and the spcaLA as a whole.

Knowledge of:
- Computer applications (e.g. Outlook, Teams, Word, Excel, data entry)
- Usage of office equipment (e.g. computer, copier, phones, fax machine).
- Various breeds of dogs, cats and other domestic animals.
- Basic domestic animal care; common illnesses, and safe and humane animal handling.
Experience & Training
- 1-2 years minimum of data entry and administrative support experience.
- Strong verbal and written communication skills.
- Experience working in a shelter environment or similar environment.
Physical demands:
- Requires the ability to stand, walk, run, sit and kneel, crouch or crawl and regularly required to use hands & fingers; handle or feel objects, tools or controls; reach with hands and arms; and talk and listen.
- Perform work, which involves frequent lifting, carrying and/or pushing of 15 lbs. and occasionally 25 lbs.
Working Conditions:
- Dealing with possible hostile or overly emotional public.
- Possible exposure to unruly animals.
- Possible exposure to parasites and infectious diseases.
- Must be willing to work irregular hours, shifts, weekends, holidays and standby.
- The noise level in performing this job varies depending on the task being performed.
