Job Title: Executive Assistant to CEO
We are a growing mid-sized contract manufacturer providing quality metal fabrication services for large OEM customers. Our customers span many industries, including: Off-Highway, Agriculture, Construction, Transportation, Energy, HVAC and Recreation. We have 3 facilities in Minnesota, 1 in Nebraska, 1 in Georgia and 1 in Mexico. Job Summary:
Perform executive level administrative (C-Suite) duties for CEO and Senior Leadership Team requiring broad and comprehensive experience, skill, critical thinking and knowledge of organization policies and practices. Responsibilities include maintaining executive’s schedule; planning meetings, conferences, presentations, and travel; composing confidential correspondence; preparing reports and presentation materials; providing project support and/or leadership in addition to other tasks that might be required from time to time.
Essential Job Functions:
- Provide comprehensive administrative support to include managing executive's schedule by arranging appointments, maintaining calendars and scheduling meetings, conferences, travel, and presentations.
- Screen and manage emails and phone calls, handling inquiries or redirecting as appropriate.
- Greet visitors, respond to information requests, and compose correspondence (often of a confidential nature).
- Handle complex administrative details, including data compilation and analysis.
- Proactively prepare presentation materials and spreadsheets to produce high quality reports, presentations, and other documents.
- Administer and/or lead projects.
- Anticipate needs of the CEO and senior leadership team, perform duties independently at times and work on highly confidential matters.
- Collaborate with other team members to ensure seamless communication and coordination.
Key Qualifications and Experience:
- 5+ years of proven experience in executive administration.
- Bachelor’s degree preferred.
- Advanced business computer skills (Microsoft Office Suite and Power BI tools).
- Ability to write business correspondence clearly and concisely, using correct grammar, vocabulary, punctuation, and spelling.
- Ability to handle multiple projects or tasks while effectively prioritizing to meet deadlines and maintain a high quality of work.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to maintain integrity of sensitive/confidential information.
