Responsibilities:
- Welcomes all patients and visitors.
- Sorts and distributes mail as needed.
- Triage patient calls to determine path to action.
- Collects full, complete, and accurate insurance information.
- Verifies insurance benefits, including HMO and PPO.
- Collects copays and previous balances from patients.
- Obtains and verifies prior authorizations from insurances, including but not limited to drugs used during intravitreal (intraocular) injections, laser treatments, and surgeries.
- Schedules patient appointments and follow up.
- Facilitates efficient clinic flow by appropriately scheduling patients.
- Assists with preliminary chart preparation.
- Warmly and efficiently answers busy phone call volume.
- Handle and direct appropriately patient inquiries.
- Follows our practice-recommended communication guidelines.
- Assists with incoming and outgoing patient referrals.
- Comforts patients by anticipating anxieties and answering questions.
- Ensures availability of treatment information by filing and retrieving patient records.
- Maintains patient accounts by obtaining, recording, and updating personal and financial information.
- Protects patients' rights by maintaining confidentiality of personal and financial information.
- Be proficient with Electronic Medical Records (EMR) system and Practice Management system (PM) in place at the clinic.
- Contributes to team effort by understanding job responsibilities.
- Ability to handle confidential matters and adhere to HIPAA guidelines.
- Ensure reception/lobby area is tidy and presentable.
- Receive, sort, and distribute daily faxes/deliveries.
- Ability to operate office equipment such as printers, scanner, and fax.
- Order front office supplies and keep inventory of stock.
- Coordinate and communicate schedules with the physician.
- Professional attitude and appearance.
- Assist with the rooming of patients.
- Learn how to take Optical Coherence Tomography (OCT) and Fundus photos.
- Provide support and assistance to other members of the healthcare team as needed.
- Maintain regular attendance and punctuality.
- Performs all other duties as assigned.
Requirements:
The ideal candidate will have strong customer service skills and people skills to provide the highest level of care for our patients, as well as:
- High school degree or equivalent (Required)
- Bilingual - Spanish (Required)
- Previous front office experience (Required)
- Proficient computer skills (Preferred)
- Strong organizational skills (Preferred)

- Prior front desk experience in ophthalmology or retina as ophthalmic technician (Preferred)
