Position Description
Van Robotics is seeking a new team member to serve as the Office Manager (OM). The OM will learn and be responsible for learning and managing the day-to-day operations of the office ensuring efficient and effective operations and coordinating all issues affecting the daily operations of the office. The OM will work under the direction of the Chief Executive Officer to ensure the needs of the office, staff and our partners are met in a timely manner.
The successful candidate will manage a wide range of tasks while coordinating with the CEO to:
1. Efficiently book and manage travel,
2. Monitor and manage inventory,
3. Monitor and maintain office supplies and snacks,
4. Reconcile employee time off requests with calendar notices and Gusto requests for time off
5. Send accounting data (exporting already-made reports),
6. Helping to manage CEO’s calendar, and company email,
along with other administrative tasks as required to maintain the company’s operations. These initiatives will often include keep abreast of, and enforcing Company policy, and ensuring that all Van team members, school partners, and community members are aware of existing and new company initiatives.
Responsibilities
Operations
- Supports company operations by efficiently managing administrative tasks and providing assistance to CEO.
- Maintains office services by organizing office operations and procedures, writing correspondence, designing filing systems and assisting with all regulatory and compliance requirements.
- Update and implement office policies and SOP’s as measured against organizational change in standards and procedures.
- Reviews and books travel requests to ensure compliance with all company policies and best pricing.
- Contributes to team effort by accomplishing related tasks, as needed.
- Compiles and emails weekly Quickbooks reports.
- Follows up on outstanding/overdue invoices in QuickBooks by calling and/or emailing customers.Required
