The WSIB operates in a hybrid work environment and this position should anticipate 60 to 80 percent of their time in the office.
The WSIB is seeking a qualified candidate to join our team as a Confidential Secretary, providing executive-level administrative support to the Chief Executive Officer (CEO) and the Board. This is a unique opportunity to join a globally recognized investment management organization. The primary objectives of the Confidential Secretary are the performance of complex administrative duties ensuring effective operation of the executive office and providing leadership and guidance to WSIB administrative staff on agency and Board matters, while building and maintaining effective working relationships with management team, Board members, stakeholders, the Legislature, external partners, and the public.
We’re looking for a skilled administrative professional with at least 5 years of relevant or transferrable experience providing high level administrative support to one or more executives and/or to a decision-making board, commission, or other similar oversight entity. Critical to this position are sound judgement and problem-solving skills, unquestionable integrity and accountability, a passion for excellence, and a high regard for an established culture of belonging that values diversity, equity, and inclusion.

IF SELECTED FOR THIS OPPORTUNITY, YOUR PRIMARY DUTIES WILL BE TO:
Review and act on the CEO’s workflow; facilitate action and follow up for completion.
Maintain the CEO’s calendar: prioritize and respond to internal and external requests for meetings, attendance at conferences and events, and speaking engagements. Coordinate associated travel, prepare domestic and international travel requests for approval, create itineraries, and process reimbursements upon travel completion.
Assume primary responsibility for all administrative aspects of Board and Committee operations: maintain Board and Committee meeting calendars, prepare and issue public notices, take minutes of Board meetings, oversee Committee meeting operations, provide guidance to Committee administrative support, review all Board and Committee materials, oversee all aspects of hybrid and virtual meetings, ensuring adequate staffing.
Coordinate domestic and international travel arrangements for Board members. Prepare travel requests for approval, create itineraries, and process reimbursements upon completion of travel.
Assist with the coordination of the annual offsite Board strategic planning meeting, including event venue contracting, participant lodging, catering, travel, equipment, and billing. contracting, participant lodging, catering, travel, equipment, and billing.
COMPETITIVE APPLICANTS WILL HAVE:
A minimum of 5 years of administrative experience at the executive level or similar, relevant transferrable experience.
Demonstrated understanding of government organization and administrative procedures, government functions, and/or decision-making board, commission, or similar oversight entity operations.
Knowledge of, and experience overseeing, office methods and procedures as well as schedule coordination.
Intermediate level proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. Working knowledge of SharePoint and Adobe.
Demonstrated history of regular and reliable attendance.
Excellent interpersonal skills.
