JOB TITLE: Office Manager
DEPARTMENT: Administration
IMMEDIATE SUPERVISOR: Executive Director
DURATION: Full-Time, Non-Exempt
PROBATION PERIOD: 90 Days
The Office Manager will organize and coordinate office administration and procedures, to ensure organizational effectiveness, efficiency, and safety. The Office Manager is responsible for streamlining administrative procedures, inventory control, staff supervision, and task delegation. The Office Manager supervises the Food Services Team, Building Services Team, and Receptionist.
Essential Functions:
- Functions as Administrative Assistant to the Executive Director, which includes typing agendas and minutes, receiving and placing calls, coordinating and scheduling meetings and appointments
- Point person for mailing, shipping, supplies, equipment, bills, and errands
- Supervises the Receptionist, Building Services Team Lead, and Kitchen Manager
- Adheres to office procedures and policies to improve coordination and staff relations
- Acts as point person with IT support provider
- Works as backup to the Receptionist for answering telephone and directing calls
- Actively participates in fundraiser development and planning
- Coordinates health and safety inspections for the facility
- Executes employee appreciation program
- Actively participates on the agency’s Leadership Team
- Performs other duties as assigned by the Executive Director
Skill Requirements:
- Knowledge of office management responsibilities, systems, and procedures
- Excellent time management skills, communication skills, and organizational skills
- Attention to detail and problem solving
- Ability to effectively supervise and maintain good working relationship with agency personnel and the public
- Ability to handle confidential matters and information pertaining to the agency
- Ability to work independently on difficult assignments
- Excellent written and verbal communication skills
- Excellent computer skills, including proficiency in Microsoft Office applications
- Knowledge of or willingness to learn cleaning and maintenance requirements
- Knowledge of or willingness to learn kitchen safety requirements
Education Requirements:
Bachelor’s or Associate’s Degree in a field related to business or human services preferred.
Work Experience:
Two years of work experience in office management responsibilities and supervisory experience preferred.
Other Requirements:
- Must be dependable.
- Must have valid driver’s license.
Compensation:
- Hourly Wage Range is $20-$23 per hour, 40 hours per week.
