We are looking for a new team member to join our team of professionals at Pitman Huff Raedel Magaro Lifetime Legal, PLLC. This position is a full-time legal receptionist/administrative assistant position in a busy mid-size private estate planning law firm in Olympia.
As this position is the first point of contact for new and established clients, the individual in this position must be able to greet guests and create a professional and welcoming environment.
All action in this position is a representation of the law firm and therefore requires a positive personality, clear communication, follow up with clients and staff as needed, and the ability to identify which matters need to be referred to other staff or attorneys. To be successful in this position, the individual must be able to take direction from many people and learn to do tasks in a variety of ways based upon attorney preference.
An individual in this position will have the opportunity for growth, to learn new skills, and gain valuable legal experience.
Must have a minimum of 1 year professional office receptionist experience.
Job Summary: Duties and Responsibilities of this position include the following:
- Welcoming guests and clients by greeting them in person or on the phone and answering or directing client inquiries.
- Maintaining lobby and conference room space as clean and professional.
- Answering multi-line telephones (total of 7 lines), assessing need, and directing calls or taking messages as needed.
- Scheduling appointments, ensuring attorneys have all documentation they need to prepare.
- Must be able to maintain calendars of multiple attorneys with varying requirements.
- Drafting and proofreading correspondence to clients which may occur with or without a template.
- Coping and scanning documents.
- Maintaining and utilizing filing/retrieving systems.
- Receiving incoming communications both digital and hard copies.
- Collecting and distributing mail including daily drop off at post office.
- Maintaining office supplies by tracking stock and completing stock orders.
- Maintaining Rules of Professional Conduct by preserving client confidences and keeping attorney/client information confidential.
Education:
Candidates must have high school diploma or equivalent.
Requirements:
Organizational skills with strong attention to detail
Excellent written and oral communication skills
Experience in an office setting
Law firm experience is preferred but not required
Strong alphabetizing, and grammatical skills
Must be proficient in MS Office (Word, Excel, Outlook) and web-based interfaces
Proficiency in Access and Clio is a plus but is not required
Strong time management skills, with the ability to identify tasks which require attention
Intermediate or above computer skills.
Type a minimum of 50 wpm, ten-key is preferred by not required
Able to follow instructions without supervision (after proper training), be able to learn quickly, have problem solving skills, and get along with others
Reliable transportation is required as well as availability from 8am – 5pm, Monday-Friday.
