Overview:
This position supports the Supply Chain Purchasing department and Purchasing Specialists. The Purchasing Specialist Associate is responsible for all sourcing requests for assigned commodities as well as Procure to Pay workflow support for other commodities.
Responsibilities/Job Description:
- Responsible for processing end-user initiated Purchase Orders for assigned commodities, including routine, capital and emergency.
- Follow established processes to ensure proper steps of the PO to Payment workflow is followed, which includes but is not limited to: expediting orders, research and reconcile receiving issues, pricing discrepancies, and resolve any product order concerns.
- Establish new, and maintain existing, customer accounts with vendors.
- Consult with Contract Administration regarding contract availability, terms and pricing and update orders accordingly.
- Work closely with appropriate vendors, Site Supply Chain, Accounts Payable, and end users to resolve all discrepancies in a timely manner.
- Understand and able to support Purchasing Specialists’ daily work and step in as a secondary backup as needed, including but not limited to purchase order confirmations, acknowledgements, EDI monitoring, and emergency orders.
- Communicate with end users, Purchasing Specialists, and Purchasing Supervisor the status of orders as necessary.
- Execute other tasks as assigned by Purchasing Supervisor.
Qualifications:
- Purchasing/Supply Chain knowledge and experience, preferably in a healthcare setting.
- Ability to work independently, understand and follow standard workflows, and engage colleagues and leaders when appropriate.
- Must possess prioritization and organization skills.
- Must be able to attend to multiple tasks and time sensitive tasks simultaneously and react appropriately to all emergencies.
- Must have excellent verbal and written communication skills.
- Must demonstrate superior customer service skills.
- Work effectively in a team environment and demonstrate commitment to Fairview, Supply Chain leadership and fellow teammates and customers.
