Receptionist/Administrative Assistant
7:30-4:30 Monday – Friday

As the first face that our clients see when coming into the office, a personable demeanor and can-do attitude is essential for the person that holds this position. You will play a vital role in ensuring smooth operations and a welcoming environment by providing exceptional customer service to clients and processing financial business accurately and efficiently. You will be responsible for receptionist duties while also overseeing various office management tasks. This position is ideal for someone who is dependable, organized, and who excels in a fast-paced environment.

**Key Responsibilities:**
· Greet all clients and visitors, ensuring a warm and professional atmosphere.
· Direct visitors to the appropriate person and office.
· Answer, screen, and forward incoming phone calls.
· Accurately notate phone messages and convey them to the appropriate person.
· Provide accurate information in-person, over the phone, and via email.
· Ensure the office is clean and presentable, always stocked with the necessary supplies.
· Coordinate and schedule meetings for multiple advisors.
· Perform general administrative duties, including filing, photocopying, data entry, and maintaining confidential information.
· Collaborate with other team members to ensure smooth office operations and efficient workflow.
· Oversee multiple calendars and computer systems.
· Participate in outreach to current and prospective clients to generate interest and build relationships.
· Manage mailing lists to ensure accuracy and relevance.
· Adhere to a systematic framework to guide the execution of tasks to meet desired outcomes and timeframes.
**Requirements:**
· Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
· Excellent communication and interpersonal skills.
· Detail-oriented and able to maintain accuracy in a fast-paced environment.
· Professional demeanor and appearance.
· Proficiency in Microsoft Office and other relevant software is a plus.
· Previous experience in office management or related administrative positions is a plus.
