Responsibilities:
Provides all administrative support functions including communications, travel coordination, calendar and scheduling, processing expense reports and invoices, and maintaining payment records for external professional fees and services.
Acts as a confidential assistant, maintaining confidential and sensitive information.
Arranges all logistics for meetings including catering, agendas, and facilities.
Plans and organizes travel, domestic and international, including creating itineraries, coordinating meetings, and securing visas as necessary.
Coordinates the payment of any invoices as needed and manages the flow of invoices and correspondence that arrives at the office for the CEO and/or President
Manages all communications, including but not limited to the following: mail, email, telephone, meetings, reports, subscriptions, etc. for both business and personal matters
Takes senior executive meeting minutes and then follows up with other senior executives to ensure action items are being executed upon
Handles any and all personal matters with the utmost discretion.
Qualifications:
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Able to type minimum of 50 words per minute.
- Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
