Job Summary:
The Surgery Scheduler is responsible for scheduling all surgical procedures for Pennsylvania Retina Specialists patients, ensuring that all pre-surgery testing is scheduled and all appropriate clinical and insurance coding information is collected. Surgery schedulers coordinator with all appropriate departments internally and at the hospital where the surgery is located to ensure the patient has proper prior authorization for their surgery and works to ensure the patient receives proper communication for a smooth surgical experience.
Duties/Responsibilities:
- Schedules patient surgeries, including completing OR reservation forms and faxing to the appropriate facilities on priority basis (Emergent, Urgent, Elective)
- Coordinators with physicians to correctly assign CPT codes for surgical procedures
- Counsels patients with pre-op and post-Op instructions
- Ensures all pre-op appointments are completed for each surgical case
- Ensure injection in office prior, medical clearance, and/or IOL calculation appointment
- Assists with processing patient’s post-op eye drops orders at the physicians request
- Reviews/understands patients’ medical history and medications
- Accurately completes all surgical forms
- Facilitates effective communication with surgical facilities, patients and physicians
- Works with insurance companies to determine if each surgical procedure needs prior authorization and obtains prior authorization for surgical procedures when necessary
- Works on re-authorization with insurance companies if CPT code changes during surgery
- Order surgery folders and diagnosis brochures.
- Work with OWL leasing company to coordinate face down equipment rental for patients.
- § Provides patient with emergency sets in office.
- § Obtains billing information to provide to OWL Leasing company.
- § Faxes letters of medical necessity to the OWL Leasing company for all rentals
- Works with surgical facilities to ensure all necessary equipment is in the OR for surgery, including IOL’s.
- Obtains endophthalmitis culture results and post them in MDI
- Obtains PCR outbound cultures to be sent to Harrisburg Hospital and follow-up for results
- Accesses Cerner to obtain records and assist physician with Penn State Health Holy Spirit orders.
- Complete monthly surgery stats for practice administration
- Answers patient calls regarding surgical procedures and assists all internal departments with questions as needed.
- Follow-up on all requested lab results and upload them into MDI
- Follow-up on outbound surgical referrals.
- Processing of script refills.

Shift Expectations
The two Surgery Schedulers will be expected to rotate their shifts between 7:30am – 4pm and 8 am to 4:30 pm to provide thorough coverage. The scheduler assigned to the later shift is responsible for staying in the event of end of day emergency add-on’s. This can result in staying later on some occasions.
Education and Experience:
High school diploma or equivalent.
At least two years related experience required.
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
Job Type: Full-time
Pay: $16.50 - $21.00 per hour
