Report to: Practice Manager
Summary of Responsibilities
Responsibilities include assisting practice manager in all phases of daily clinic operations. Including scheduling patients, answering phones, accounting and human resources management, as well as other duties as assigned.
List of Responsibilities/Duties
- Correspond with patients to schedule appointments, assist with account inquiries, etc.
- Greets the patient, verifying all personal information (address, telephone, etc.), method of payment and insurance, collecting copayment when applicable, entering necessary information into computer system and providing any requested information to patients.
- Verifies daily that necessary authorizations are on file for injectable drugs and notifies patient and or insurance company as needed with any issues prior to appointments.
- Coordinates patient enrollment into appropriate Patient Assistance Programs as needed.
- Coordinates inventory management of patient assistance charity drugs.
- Processes medical records requests and prepares invoices as needed.
- Verifies daily deposit totals reconcile to Practice Management system reports and enters those deposits to the accounting software as appropriate.
- Assist with updates and maintenance of provider credentialing databases as needed.
- Processes accounts payable invoices based on applicable due dates and payment terms.
- Assist with daily, weekly and monthly practice management report reconciliation at the request of the office manager.
- Reconciles check registers to bank statements on a monthly basis.
- Assist with the processing of hourly staff payroll timesheets making necessary corrections prior to submission to the office manager.
- Travels to satellite offices as needed to perform reception duties.
- Acts as back up receptionist as needed.
- Always maintain patient confidentiality and communicate with the Practice Manager regarding procedural changes and concerns.
- Cooperates and communicates with all staff members and physicians about patient matters.
- Maintains working knowledge of all office equipment, fax, copiers, phones, etc.
Minimum Education Requirements
- A high school diploma or an equivalent is required.
Minimum Background Requirements
- Two years medical office experience where related clerical and customer service skills are necessary.
Preferred Background
- Experience in human resources and benefits administration
- Proficient with Quickbooks
Minimum Demonstrated Skills
- Ability to establish and maintain effective relationships with patients, visitors, physicians, staff and other people contacted in the course of work.
- Ability to enter data into computer.
- Ability to keep pace with a high volume of patients while performing multiple, sometimes complex, tasks.

- Demonstrated ability to effectively convey ideas and information.
- Demonstrated ability to work cooperatively with others.
