Job Summary:
This role will require being cross trained in all the key areas of the administrative operations: Front Desk, Medical Assistant, and TMS. You will play a large role in making sure all patients have a 5-star experience. Part of this role will be continuous skills development through training, learning, and practice. Each day will present its own challenges and you must be ready to solve problems or be resourceful to find solutions.

All team members will be required to show competency on how to complete each task or process below:
Front Desk Responsibilities:
- Respond to calls, texts, & emails using Zendesk
- Respond to messages inside AdvancedMD
- Offer technical support to patients
- Provide support to clinicians within a reasonable time
- Attend to in-office patients, clients, & visitors
- Process new patient intakes
- Schedule new and follow up appointments
- Manage the patient wait list daily
- Explain financial requirements to patients or responsible parties
- Collects copays and past due balances
- Verify patient insurance benefits
- Create patient letters
- Process outbound referrals
- Process medical record requests
- Complete in-office start of day & end of day tasks
TMS Technician Responsibilities:
- Perform TMS mappings & treatments
- Maintain TMS schedule
Medical Assistant Responsibilities:
- Collect patient vitals
- Process UDS samples
- Process genetic test samples
- Process medication refill requests
- Process prior authorizations
- Process lab order requests
- Update patient chart with medication lists & lab results
- Enforce medication policies with patients
- Identify most common psychiatric drugs & controlled substances
Skills Required:
- Perform wellness checks & baker acts
- Deescalate and handle stressful situations, violent and suicidal patients
- Certified in CPR & BLS
- Type 45 words per minute with 90% accuracy
- Use of keyboard shortcuts
- Use Microsoft Office, including Word, Excel, and Outlook
- Efficiently use browsers and web-based software
- Operate office equipment including computers, printers, tablets, phones, and TV's
- Use proper grammar, spelling, and punctuation
- Digital File Management & Organization

- Complete 1 hour time block each working day
- Follow a daily structure & schedule
- Maintain professional atmosphere and clean office
- Block distractions and able to complete tasks with high level of focus
- Display resiliency by remaining calm and positive in difficult situations
