Job Summary:
A billing assistant is primarily in charge of performing support tasks to maintain smooth billing operations for the restaurant. Their responsibilities typically include preparing and processing invoices for clients, sending billing adjustments, printing and reviewing invoices and billings, receiving payments, and monitoring delinquent invoices, sending reminders as necessary. They may also close and balance payments, calculate discounts, and maintain records of all transactions. Moreover, a billing assistant must be alert and proactive for any errors and inconsistencies, dealing with them accordingly. As well as maintaining personnel records and restaurant receipts.
Responsibilities:
- Manage all billing accounts including daily receipts for accountants from restaurant POS system.
-Work directly with vendors, making sure all vendors records are up to date
-Organizing, scanning and emailing invoices directly to accountants
-Work with Corporate Controller for both restaurant locations, as well as billing assistant form other location
- Maintain accurate and up-to-date employee records, including contact information, employment contracts, licenses, and certifications.
- Assist with payroll administration, ensuring accuracy and timely processing.
- Support the training and development initiatives by organizing training sessions, keeping track of attendance, and maintaining training materials and records.
- Act as the primary point of contact for employee inquiries regarding personnel policies, benefits, employee files, and related matters.
- Ensure compliance with employment laws, regulations, and restaurant policies.
- Assist in maintaining a safe and clean work environment by overseeing occupational health and safety protocols and conducting regular inspections.
- Support the administration of employee performance reviews and provide administrative support for disciplinary and grievance matters.
- Assist with general administrative tasks, including managing phone calls, emails, reception duties, organizing meetings, and maintaining office supplies inventory.
Requirements:
- Previous experience in a billing or administrative role, preferably within the restaurant or hospitality industry.
- Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
- Proficiency in using computer software, including MS Office Suite (Word, Excel, PowerPoint).
- Strong communication and interpersonal skills, with the ability to maintain positive relationships with staff at all levels.
- Attention to detail and accuracy in record-keeping and data management.
- Discretion and ability to handle confidential information with professionalism.
- A proactive attitude, with the ability to work independently and take initiative when necessary.
- Knowledge of local labor laws and regulations related to the restaurant industry preferred.
- A diploma or bachelor's degree in human resources, business administration, or a related field is preferred.
