Planned Parenthood Los Angeles is seeking an experienced and caring Facilities Coordinator to work fulltime at the PPLA Downtown LA Headquarters.

High School diploma or GED degree required;
- Associate degree preferred.

Two (2) to three (3) years general office experience serving diverse clients.
- Broad knowledge of Facilities and Construction industry terms and materials preferred.

Must have excellent computer skills with knowledge of Microsoft Word, Excel, Outlook, and the Internet.

Abortion patients are cared for at each of our health centers and in part through the administrative, support, and other non-clinical services provided at all PPLA locations and by all PPLA employees, and supporting these critical services is an essential job duty and fundamental responsibility of all employees and contractors.

Responsible for all matters related to administration /general office functions for Facilities: including, but not limited to, records management and retrieval, word processing, faxing & copying.

Support the daily operations of Facilities under the direction of the Vice President of Facilities & Security.

Support ongoing projects with information retrieval for planning and budgeting, such as facilitating RFP’s for services & RFP’s for construction.

Provide support and information to vendors and contractors and in-house staff to complete projects on schedule and on budget.

Support PPLA Facilities team to meet daily needs of clients and centers.

Collect acquiring invoice backup from internal staff and external vendors/contractors as needed.

Coordinate meetings and meeting arrangements for Vice President of Facilities & Security.

Act as a liaison between Facilities leadership and other staff, departments, or vendors/contractors and serving as a point-of-contact when the Facilities leadership is unavailable.

Coordinate internal resources and outside vendors/contractors for the execution of projects.

Assist with planning, implementation, and follow through with special projects.

Work closely with company management, project management and contractors to provide insight and reporting on the performance of assigned projects.

Collect and maintain project documentation and reports.

Identify user needs and verify the data to meet those analytic needs.

Liaise between vendors and independent contractors to ensure smooth daily HQ and center operations.

Coordinate day-to-day operations for PPLA Headquarters by providing direction to independent contractors on operational procedures and policy interpretation.

Assist with managing agency meeting calendar when frontline and backup are unavailable.

Assist with resolving issues related with valet and janitorial services under the guidance of the VP of Facilities & Security.

Provide support to independent contractors after hours and/or on weekends by being on call when Vice President of Facilities & Security is unavailable.

Track and maintain supply inventory and orders for janitorial independent contractors for HQ in addition to reviewing coffee supply orders for the agency.

Manage work orders in Facilities Happy Fox work order system.

Coordinate independent contractors for execution of incoming Facilities work orders.

Coordinate with medical equipment independent contractors to schedule and perform repairs and preventative maintenance for medical equipment at centers.

Support medical equipment records collection.

Other responsibilities and projects as assigned by Vice President of Facilities & Security.

Hiring Range: $26.62 - 31.94 per hour (Non-Exempt)
