Responsibilities:
- Lead Management:
- Contact leads generated from Facebook to schedule initial appointments.
- Follow up with leads to provide information and answer any questions.
- Appointment Scheduling:
- Accurately schedule appointments using the eCW (Electronic Clinical Works) system.
- Confirm appointments with clients via phone and email, ensuring they have all necessary details.
- Send reminders for upcoming appointments and address any client queries.
- Appointment Confirmation and Follow-up:
- Communicate with the front desk to verify which appointments were attended and which were missed.
- Update the status of appointments in the Go High Level system based on front desk feedback.
- System Updates:
- Maintain accurate and up-to-date appointment records in both eCW and Go High Level systems.
- Ensure all client information is correctly entered and updated in the systems.
Qualifications:
- Strong verbal and written communication skills.
- Basic proficiency in office software such as MS Office (Word, Excel, Outlook).
- Strong customer service skills with a friendly and professional demeanor.
- Ability to manage and organize multiple tasks simultaneously.
- Attention to detail to ensure accurate record-keeping.
- Willingness to learn and adapt to new systems and processes.
- Ability to work independently and as part of a team.
Goals:
- Achieve a 70% appointment show-up rate by effectively managing and confirming appointments.
- Convert 20%-30% of leads into scheduled appointments.
Key Performance Indicators (KPIs):
- Number of calls made to leads.
- Appointments scheduled per week/month.
- Appointment confirmation rate.
- Appointment show-up rate (goal: 70%).
- Lead-to-appointment conversion rate (goal: 20%-30%).
- Client satisfaction scores.

Pay: $18.00 - $22.00 per hour
