We are looking for a Full time Resident Services Assistant. (8:00 am - 4:30 pm - occasionally hours might vary according to special events).
BASIC FUNCTION:
The Resident Services Assistant is a multi-functional role that carries out the daily functions of the Resident Services Department such as in-house events, educational programs, and virtual entertainment, driving, when necessary, as approved by the Director and filling in for the Receptionist as needed
JOB FUNCTIONS:
Responsible for evening programs conducted by Resident Services. This includes interacting with resident sponsors, outside presenters or entertainers, or residents acting as presenters. The Resident Services Assistant will make sure of the proper set-up of the room and that the requested audiovisual devices are set-up. Stay until the program is completed. Using resident requests and researching relevant releases, create strategic plans for all Resident Services programming scheduled in the Ballam Theatre and internal channels including movies, documentaries, One Day University, etc, that meet educational/emotional/entertainment standards of resident population. Evaluate the programs and entertainment through feedback from residents. Develop community connections to provide our residents with outside experiences. Responsible for all in-house advertising of Resident Services events including flyers and save the dates. Creation and publication of weekly newsletter (Weekly Reminders). Design and create invitations, memorial service programs, music programs and other special projects as needed.
Ensures activity areas and supplies are well maintained. Completes purchase orders for purchased supplies in timely manner. Assist Resident Services Trip Coordinator with monthly teas, coffees, and ice cream socials. Meet with new residents to explain how to use the Iamfine Resident Check in system, as needed. Coordinates with other staff members relating to scheduling of events and use of the community rooms/event spaces. Assists with the driving duties when needed. Act as a relief receptionist when necessary, including daily receptionist lunch break. Answering telephones promptly and professionally, transferring calls, taking accurate messages, and relaying messages to the appropriate personnel in a timely manner. Responsible for resident emergency alarm and fire alarm system procedures for residents, guests and employees. Run and check the Resident Check in system (Iamfine) including Away forms, adding new residents, maintenance of the Iamfine Resident Check in system. Maintain the supply of necessary forms; i.e. Resident Phone Directories, Resident Away Forms, Access Forms, Employee Applications, Stamps by Mail, Change of Address Forms, Postage Request Forms, etc., at the front desk. Interface in a professional and friendly manner with visitors, guests, residents and employees.
Responsible for the Director of Resident Services' duties when the Director is away including but not limited to payroll, overtime reports, attending the managers meeting, processing Anybill invoices and managing staff.
Perform additional duties as assigned.
MINIMUM REQUIREMENTS:
- PA Driver's license.
- High school graduate or equivalent plus two years of clerical experience.
- Must be computer literate. Knowledge of Microsoft Word, Microsoft Publisher, Microsoft Power Point, Microsoft Excel and Adobe.
- A genuine interest in and compassion for older adults.
- Excellent interpersonal and written communication skills, including being comfortable with public speaking.
- Technical skills including audio/visual equipment, media streaming services. Ability to pivot to virtual environment and support technical needs for virtual events and activities.
- Must have a pleasant and professional manner and work efficiently under stressful situations.
- Demonstrate creative ability and enthusiasm. -Self-direction- must be able to take a project independently.
- Incredible attention to detail.
- Strong initiative and ability to handle multiple projects/roles in an evolving environment both individually and within a team.
- Willingness to do what it takes to complete projects with a dedication to quality and innovative thinking.
- Strong resourcefulness and problem-solving skill.
- Ability to sit and stand for long periods of time and do moderate lifting. Must be able to travel around to the independent living units, Personal Care and Health Center.
