Part-Time Client Care Coordinator (Hybrid Position) - Northwest Relationships, Tacoma, WA
Are you an organized and efficient professional experienced in handling high volumes of client interactions? Northwest Relationships is seeking a Client Care Coordinator who can thrive in a dynamic, health-focused environment.
Role Overview: This 25-hour per week hybrid role, based in Tacoma, offers the opportunity to be a critical point of contact for our clients, ensuring a seamless transition into our services, as well as providing ongoing support to our clients and clinicians, including scheduling, billing, and other service coordination support.
Key Responsibilities:
- Handle intake department interactions via phone (inbound and outbound), email, voicemail, faxes, and chat.
- Obtain and process patient clinical history, demographic, and insurance information.
- Manage referral paperwork and communicate with patients and providers regarding any delays in processing referrals or prior authorizations.
- Screen inquiry calls and schedule potential new patients.
- Reach out to patients to initiate new services and complete assessments.
- Answer questions regarding new patient appointments or referrals.
- Maintain regular communication with key referral sources to ensure proper patient placement.
- Collaborate with the office manager and other staff involved in the treatment process.
- Serve as the primary liaison between clients and clinicians post-intake to ensure continuous care and support.
- Manage ongoing scheduling adjustments, billing inquiries, and facilitate communication between clients and healthcare providers.
- Provide administrative support and handle treatment-related coordination efficiently.
- Assist with incoming emergency calls as appropriate.
- Maintain high standards of client confidentiality and service excellence.
Skills & Experience:
- High school diploma required; further education or relevant certifications in healthcare or administration preferred.
- Experience in a healthcare or mental health practice environment, with a strong understanding of patient care coordination.
- Proficient in EHR systems, Microsoft Office, and capable of managing multiple communication platforms.
- Strong organizational skills, with the ability to multitask and prioritize effectively.
- Excellent interpersonal and communication skills, with a focus on compassionate client interaction.
