Kidney Specialists of Southern Nevada (KSOSN) provides comprehensive kidney care and a full spectrum of kidney disease management resources for residents of Southern Nevada. Our care team educates and empowers patients who are living with kidney pain, infections, stones, and other kidney problems. With this exciting opportunity you will be joining a seasoned team of 50 Physicians, Nurse Practitioners, and Physicians Assistants, as well as 80+ team members across eight locations.
We are looking for a dynamic Lead Patient Representative to join our growing team.
This position will work a 9/4 schedule. Work schedule will be Monday to Thursday, 7:30 am to 5pm OR 8am to 5:30pm and Friday 8am to 12 noon.
Position Summary
The Lead Patient Representative serves in the dual capacity of performing clerical duties and overseeing the Patient Representative team’s workload and the functions of the front office. This position ensures our office provides a welcoming environment for our patients. This position will partner with the leadership team to achieve KSOSN’s goals.
Essential Job Functions:
- Greets patients and other visitors upon arrival.
- Answers all phone calls and direct callers to the correct department.
- Schedules patient appointments; checks patients in and out; processes patient paperwork.
- Scans insurance cards for each patient; verifies insurance eligibility.
- Collects and posts patient co-pays.
- Adds patients to recall and waiting lists; schedules patients from recall and waiting lists.
- Maintains patient accounts by obtaining, recording, and updating personal and financial information.
- Checks patient accounts after each appointment, i.e. making sure all information is entered, follow up appointments are scheduled or placed on recall, authorizations are obtained, and insurance was verified.
- Ensures patients that cancelled or did not show for their appointment are added to the recall list.
- Trains employees and answers their questions.
- For new patients, makes sure all paperwork is completed and processed.
- Ensures clinic prep is completed in the allotted time.
- Completes eligibility tasks and orders in EMR.
- Maintains operations by following policies and procedures.
- Cross trains in all front office positions.
- Travels to all KSOSN locations.
- Assists with special projects.
- Assists in developing training materials.
- Establishes work priorities for the patient representative team.
- Assists in process improvement.
- Provides mentorship to others on the team.
- Tracks and meets all project deadlines.
- Creates and maintains successful relationships with KSOSN providers.
- Participates in weekly meetings with the patient representative team.
- Assists with completing quarterly chart audits for the patient representative team.
- Maintains 95% or above accuracy on all audits.
- Meets monthly and yearly assigned goals.
- Protects patients’ rights by maintaining confidentiality of medical, personal, and financial information.
- Additional duties as assigned.
Minimum Requirements:
- Required to receive the influenza vaccination yearly.
- High school diploma or equivalent required.
- Minimum of three (3) years of medical front office experience required.
- Minimum of one (1) year experience in a lead role required.
- Proficiency in MS Word, Excel, PowerPoint, Teams, and Outlook required.
- Must possess the ability to adapt to change and support new policies and procedures in a positive manner.
- Must possess the ability to focus for extended periods.
- Must be able to read, write, speak, understand, and satisfactorily communicate with others in English in person, over the phone and via email.
- Spanish speaking is a plus.
- Prior experience with EPIC is a plus.
