DESCRIPTION:
The Criminal Justice (CJ) Specialist performs a broad range of advanced functional, operational, and administrative support to the Criminal Justice department and other Public Safety Academic Exercises considerable judgment and discretion. Assists students with program and college procedures.
ESSENTIAL FUNCTIONS:
1. Provides advanced functional and operational support to Criminal Justice department. and provides administrative assistance related to Public Safety Academic programs as needed.
2. Responsible for the work and information flow of the office, monitoring office processes, locating information and resolving issues/problems related to the department activities.
3. Assists supervisor with confidential matters and handle sensitive information discreetly.
4. Responsible for large budgets, purchasing, payroll, and attendance and leave record keeping for an office or department.
5. Ensures accurate and timely reporting of grades to FDLE (ATMS system) and handle trust fund course costs and billing.
6. Maintains records for FDLE audits annually, including documentation and compliance.
7. Prepares a broad range of routine and non-routine correspondence, documents, and reports.
8. Assists students with use of application programs such as Microsoft Office programs and PeopleSoft to create reports, tables, schedules, and create complex, formula-based spreadsheets.
9. Provides assistance and information to students on Enrollment Services Program Completion Criteria and program graduation requirements.
10. Maintains online schedules, assist with schedule building for PSAV, CC, and CWE courses, handle room reservations for events, and manage curriculum updates.
11. Prepares interviews for recruits entering academies and handle related logistical arrangements.
12. Manages Advisory Committee activities, including scheduling, minutes, and other arrangements.
13. Assists in monitoring the credentialing of faculty and staff.
14. Performs other duties as may be required or assigned.
REQUIRED QUALIFICATIONS:
1. Graduation from and accredited high school or possession of an acceptable equivalency diploma.
2. One (1) year of administrative, clerical support, and customer services experience.
DESIRED QUALIFICATIONS:
1. Associate’s Degree from a regionally or nationally accredited institution.
KNOWLEDGE, ABILITIES & SKILLS:
1. Knowledge of a wide variety of work processes, procedures, or operations in an office environment.
2. Ability to understand college systems, policies, and procedures related to Criminal Justice programs.
3. Excellent Microsoft Office skills (including Outlook, Word, Excel, PowerPoint) and the ability to become proficient in video conferencing applications, such as Teams/Zoom.
