Position Overview: As the Accounts Payable Coordinator at Fancy Foods Inc., you will oversee the accuracy and efficiency of accounts payable processes, with a specific focus on inventory-related transactions. Your role is integral in maintaining precise records and facilitating seamless financial operations within the company. Additionally, Fancy Foods Inc. is in the process of transitioning to AP Automation, and you will play a crucial role in this transition. You will be joining the team just before the go-live phase of this transition, making knowledge in an automated system preferred.
Key Responsibilities:
- Invoice Processing and Reconciliation:
- Receive, review, and verify wholesale invoices, purchase orders, and receiving documents.
- Conduct meticulous three-way matching to ensure accuracy and compliance with company policies and procedures.
- Resolve discrepancies or variances promptly by collaborating with internal stakeholders such as procurement, receiving, and vendors.
- Payment Management:
- Prepare invoices for electronic transfers, check runs, and other payment methods.
- Ensure timely payment of all wholesale invoices while adhering to company policies and payment terms.
- Customer/Vendor Credit Issuance and Vendor Relations:
- Assist in the issuance of credits by accurately documenting and tracking credit requests.
- Communicate effectively with vendors to resolve invoice discrepancies, negotiate favorable outcomes, and manage vendor expectations.
- AS400 and Automated Systems Utilization:
- Utilize experience in AS400 and other automated systems to streamline reconciliation processes and significantly enhance the efficiency of our accounts payable operations.
- Manage exceptions and handle an inbox within the automated system, efficiently resolving discrepancies, addressing issues, and ensuring seamless communication with internal stakeholders and vendors.
- Reporting and Compliance:
- Maintain detailed records and documentation of all reconciliation activities, ensuring completeness, accuracy, and compliance with accounting standards and audit requirements.
- Prepare and analyze accounts payable reports for management to facilitate decision-making and ensure financial transparency.
- Process Improvement and Support:
- Identify opportunities for process improvements to increase efficiency and accuracy in accounts payable procedures.
- Provide support to the Accounts Payable team as needed, including data entry, invoice processing, and other administrative tasks to maintain departmental efficiency.
Qualifications:
- Bachelor's degree in Accounting, Finance, or related field preferred.
- Minimum of 2-3 years of accounts payable experience, with a strong understanding of three-way matching principles and AP processes, preferably in inventory management.
- Experience with AS400 and other automated systems preferred.
- Proficiency in Microsoft Excel and accounting software applications.
- Excellent attention to detail, analytical skills, and problem-solving abilities.
- Strong communication and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholders.
- Ability to prioritize tasks, manage multiple priorities, and meet deadlines in a fast-paced environment.
- Demonstrated commitment to accuracy, integrity, and professionalism in all aspects of work.
