CONTRACT AND COMPLIANCE COORDINATOR

I. GENERAL DESCRIPTION:
The Advantage Sport & Fitness Contract and Compliance Coordinator plays a pivotal role in the company's contractual and compliance activities and reports to the VP of Business Operations. This position involves reviewing all terms and conditions on customer purchase orders and contracts, completing customer portal registrations and insuring overall compliance of our records with customers, vendors, and subcontractors. The Contract and Compliance Coordinator works in-person at the Advantage Sport & Fitness, Inc. headquarters in Ithaca, NY.

The Contract and Compliance Coordinator must excel in communication, interacting professionally with customers, colleagues, company management, attorneys, and insurance representatives. They need strong verbal and written skills to effectively represent the company to customers over the phone and via email.
B. Business Law Background/Reading Comprehension:
The Contract and Compliance Coordinator needs a robust capacity for comprehending legal documents and translating that understanding into the practical business ramifications of adhering to proposed terms and conditions. To excel in this role, they must have a strong understanding of our company's operations and a sharp, general business acumen.
C. Computer Skills:
The Contract and Compliance Coordinator needs strong computer skills to document and track contract-related activities and utilize online customer portals. Common activities include email communication, letter drafting, file management, database use, document comparisons, properly tracking changes made to documents and editing PDFs.
D. Organizational/Planning Skills:
The Contract and Compliance Coordinator must excel at timely document review, thrive in a busy open-office environment, and possess strong organizational skills for efficient follow-ups with customers, attorneys, and insurance agents to expedite the approval of contract documents.

The Contract and Compliance Coordinator must maintain professionalism, dependability, and meticulous attention to detail, with a critical emphasis on excellent attendance. They must uphold the highest level of integrity and ethical conduct in contract management and compliance efforts.
III. JOB RESPONSIBILITIES:
A. Contract Management:
· Review purchase orders, bids, and other customer-provided documents to assess their acceptability within established guidelines and legal requirements.
· Document the communications and decisions surrounding each contract review and maintain a centralized repository of contracts and related documents.
B. Insurance Compliance:
· Ensure insurance compliance by providing Certificate of Insurance (COI) to customers as required.
· Maintain records of Vendor and Subcontractor insurance compliance.
C. Customer Compliance Portal Registration:
· Register the company on customer compliance portals and ensure ongoing compliance with customer-specific requirements.
D. Customer Sales Tax Exemption Documentation:
· Approve and maintain records of customer sales tax exemption documentation in compliance with legal requirements.
E. Vendor and Subcontractor Compliance:
· Maintain records of vendor and subcontractor contracts.
F. Administrative Support:
· Learn and perform additional administrative duties as required to provide coverage for business operations.
IV. COMPENSATION/BENEFITS:
The Contract Specialist and Sales Compliance Coordinator is an FLSA-non-exempt, salaried, full-time position and is eligible for benefits as per company policies and the Employee Handbook, including 401(K) and health and dental insurance.
Salary is dependent on qualifications and performance with a range of $52,000 to $65,000 per year.
V. HOURS REQUIRED
The expected workweek is 40-45 hours, primarily during regular business hours, with occasional extended hours as needed by business demands.
