Summary/Objective
Under the supervision of the Controller, this position is responsible for a range of accounting functions, including both Accounts Payable (AP) and Accounts Receivable (AR). This role offers a great opportunity to work directly with the CEO and CFO, providing valuable experience and exposure to senior leadership.
Essential Functions
- Data Entry: Accurately enter invoices into accounting software such as QuickBooks and Sage-Timberline. Ensure all entries are correctly coded and classified to the appropriate accounts.
- Weekly Payment Budget: Prepare and maintain a weekly payment budget. Monitor cash flow to ensure that payments are made within budget constraints.
- Check Issuance: Issue checks for approved budgets, ensuring all payments are authorized and supported by appropriate documentation.
- Credit Card Management: Manage company credit cards, including tracking expenses, ensuring proper documentation, and allocating costs to appropriate accounts.
- Equipment Loan Management: Oversee loans for company equipment, ensuring accurate tracking and costing. Maintain records of payments and balances.
- Truck Loan Management: Manage loans related to company trucks, ensuring accurate cost allocation and record-keeping of all related transactions.
- Payroll Assistance: Serve as a backup in payroll processing by verifying timesheets, preparing payroll entries, and ensuring compliance with relevant regulations.
- Accounts Payable Assistance: Support the Accounts Payable process, including verifying invoices, resolving discrepancies, and maintaining vendor relationships.
- Accounts Receivable Assistance: Coordinate the implementation of billing and collections policies and procedures. Act as the collections officer for aging receivables.
- Reporting Assistance: Assist in preparing financial reports, including monthly, quarterly, and annual reports. Ensure reports are accurate and submitted on time.
- Bank/Credit Card Reconciliations: Conduct bank reconciliations to ensure that all transactions are accurately recorded, and discrepancies are resolved promptly.
- Intercompany Transactions: Manage and record intercompany transactions, ensuring accuracy and compliance with accounting standards.
- Monthly Closing Preparation: Assist in the monthly closing process, including preparing journal entries, reconciling accounts, and ensuring all financial data is accurate and up to date.

Work Environment
This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 8 a.m. to 4 p.m. Evening and weekend work may be required as job duties demand.
Required Education and Experience
- Bachelor’s degree in accounting or finance
- Minimum of four years of experience as an Accountant
- Understanding of GAAP
- Experience with Sage Construction and Real Estate (Sage 300) preferred.
- Proficiency in ERP software
- Proficiency in MS Excel

Pay: $65,000.00 - $85,000.00 per year
