**Job Overview:**
We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will be responsible for providing comprehensive administrative support and managing various tasks to ensure the smooth operation of the executive office.
**Responsibilities:**
- Coordinate executive communications, including taking calls, responding to emails
- Manage executives' calendars and set up meetings
- Assist in preparing reports, presentations, and data
- Arrange travel itineraries and accommodations
- Handle confidential information with discretion
- Perform clerical duties such as filing, photocopying, and faxing
- Support in event planning and coordination
- Conduct research and compile data as needed
-Post jobs on Indeed or Zip recruiter as directed, screen candidates, set up interviews for managers
-Manage information flow in a timely and accurate manner
-Data Entry- review expenses and prepare weekly, monthly or quarterly reports
-Pay invoices and track billing
-Budget and expense sheet tarcking
**Qualifications:**
- Proficiency in using DocuSign for document management
- Excellent proofreading skills with keen attention to detail
- Familiarity with phone systems and call handling protocols
- Experience with QuickBooks for financial record keeping ( NOt required)
- Proficient in Google Suite for office productivity
- Strong clerical skills for efficient office operations
- Ability to assist in event planning and coordination
- Prior experience in calendar management for executives
- Knowledge of office management procedures
- Exceptional customer service skills
