Under general supervision, performs office support tasks and clerical functions of considerable difficulty in the office of a Justice of the Peace.
Essential Duties and Responsibilities:
- Greets the public and provides information concerning fines and filing fees, bonds, scheduling defensive driving classes, traffic violations, claims, civil actions, and bonds; works daily in a cordial and professional manner with co-workers, attorneys, litigants, other courts, Sheriff’s Office and Jail, District/County Clerks, bondsmen, probation officers and funeral home personnel.
- Receives, dockets, and maintains files on incoming cases, complaints, and citations including civil and criminal cases, hot checks, administrative hearings, and traffic tickets; sets hearing dates and sends notices of hearings to appropriate parties.
- Prepares and processes complaints, correspondence, forms, reports, and various legal documents such as judgments, citations, appeals, mental commitments, marriage and death certificates, criminal and felony cases, and warrants.
- Issues citations, warrants, writs, and other legal documents in civil and criminal cases as required, including forcible entries and detainers.
- Maintains updated calendar of hearings and docket calls, ensuring all information is current and accurate.
- Answers telephone and directs calls or takes accurate messages, as appropriate.
- Receives money and issues receipts for payments of fines and fees; makes bank deposits and maintains computerized records of all financial transactions.
- Balances and reconciles bank accounts and prepares related reports for submission to County Clerk and Treasurer.
- Processes and records incoming mail and responds to correspondence appropriately.
- Serves as clerk of the court and signs various legal documents for the Justice of the Peace.
- Participate in educational opportunities provided by State agencies; completes courses related to acquiring and maintaining certification as a Justice Court Clerk.
- Performs other duties, as assigned.
Knowledge, Abilities, and Skills:
Knowledge of general office operations and records maintenance; knowledge of Justice of the Peace court procedures and related forms; knowledge of basic legal terminology; knowledge of basic bookkeeping procedures; knowledge of the operation of personal computers and associated software.
Ability to plan, organize, and perform work responsibilities in a timely and accurate manner; ability to work independently and meet regular deadlines; ability to prepare legal documents and maintain criminal and civil case dockets in an accurate manner; ability to work effectively with staff, citizens County officials, and others.
Skill in oral/written communication and interpersonal relations.
Physical Requirements and Work Setting:
Works in a well-lighted, air-conditioned environment; prolonged periods of sitting and periodic walking, standing, bending, and reaching; occasional lifting up to 15 lbs; visual acuity, hearing ability, and manual dexterity required.
Education and/or Experience Required:
One year as a JP Court Clerk I or the equivalent; OR two years of administrative, secretarial, or diversified clerical experience.
