Job Summary
We are seeking an office manager to join our team. In this role, you will coordinate all administrative duties and office procedures, ensuring the workplace operates smoothly and efficiently. Your responsibilities will include bookkeeping using Quickbooks online, paying invoices, collections, negotiating with vendors, filing and organizing office paperwork. The ideal candidate is highly organized with excellent verbal and written communication skills and the ability to implement systems and procedures. Ideal candidate is also able to recognize and solve issues on his/her own and does not require constant hand holding.
Responsibilities
- Design office procedures and protocols with efficiency and organization in mind
- Create, update, and maintain office procedures
- Work with IT department to ensure office equipment in good working order
- Pay and record invoices
- Negotiate contracts and pricing with vendors and service providers
- Accurately maintain general office budget
- Collections
- Employee badging
- Lien releases, NTO's, Certificate of Insurance requests
- Manual updates and organization
Qualifications
- High school diploma/GED required, some college preferred
- Previous experience as an Office Manager or similar position preferred
- Understanding of office equipment, systems, and procedures
- Skilled in Quickbooks online, Microsoft Office, Excel, Outlook
- Excellent time management skills and ability to prioritize multiple tasks
- Strong problem-solving skills and attention to detail
- Excellent verbal and written communication skills
