We are currently seeking a motivated and detail-oriented Roofing Office Administrator to join our team.
Position Overview:
The Roofing Office Administrator will play a pivotal role in ensuring the smooth operation of our office. This position combines administrative responsibilities with recruitment duties to support our roofing and sales teams. The ideal candidate will have experience in roofing and construction office environments, excellent organizational skills, and the ability to manage multiple tasks effectively.
Key Responsibilities:
Administrative Duties:
- Office Management: Handle general office management tasks including ordering supplies, managing office equipment, and maintaining a clean and organized work environment.
- Customer Support: Provide excellent customer service by answering phones, responding to inquiries, and directing calls to the appropriate team members.
- Scheduling: Coordinate and schedule meetings, appointments, and roofing jobs for the team.
- Documentation: Prepare, manage, and file various documents such as contracts, invoices, and reports.
- Data Entry: Input and update customer and project information into the company database accurately.
- Communication: Act as a point of contact for internal and external communications, including email and correspondence.
Recruitment Duties:
- Job Posting: Create and post job advertisements for roofing salesmen and other positions on various job boards and social media platforms.
- Resume Review: Screen and review resumes to identify qualified candidates for open positions.
- Phone Interviews: Conduct initial phone interviews with potential candidates to assess their qualifications and fit for the role.
- Candidate Coordination: Schedule and coordinate in-person interviews with the hiring team.
- Onboarding: Assist in the onboarding process for new hires, including preparation of paperwork and orientation scheduling.
Qualifications:
- Experience: Minimum of 2 years of experience in a roofing office and 2 years in a construction office environment.
Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Detail-oriented with the ability to manage competing priorities.
Education: High school diploma or equivalent; additional education or certification in office administration is a plus.
