Administrative Assistant

In partnership with other administrative team members, this position is responsible for providing an array of support to all areas of the organization.
Pay Range: $20-21.35 per hour

Reports To: COO
Location: Angels' Place Office in Southfield, MI (not remote)
Schedule: Monday OR Wednesday, and Friday 9:00 am - 5:00 pm (16 hours/week)
Essential Functions:
Office Administration
- Answer multi-line phone system
- Provide information as necessary
- Redirect calls to staff as necessary
- Manage mail
- Sort and distribute in-coming mail
- Address and post outbound mail
- Prepare (mail merge) communication
- Manage general email inbox by sorting, forwarding and responding to messages
- Manage conference room utilization and meeting set up
- Set up video and or audio-conferencing system
- Stock refreshments
- Distribute materials
- Respond to wait list inquiries
- Field inbound phone calls
- Reply with admissions packets as relevant
- Maintain database
- Stock kitchen supplies and light housekeeping of office common areas – lobby, kitchen, board room, etc.
Other Duties as Assigned by the COO
Though Angels’ Place has approximately 150 employees, only twelve work in the headquarters office. All employees are expected to pitch in, when necessary, on a variety of projects (i.e. resident, fundraising and volunteer activities, team-building activities, etc.).
Angels’ Place manages twenty-one homes in the tri-county area. Candidate must have an appetite to learn about the operations, residents, and staff at these homes.
May occasionally may visit one of our homes or other community settings.
Coordinate work flow with a peer administrative assistant.
Skills, Experience and Qualifications:
Education
High School Diploma or equivalent
Experience
3+ years relevant administrative work experience
Computer Skills
Above average technical efficiency in Microsoft Suite (PowerPoint, Word, Excel). Aptitude to quickly learn other programs/software.
Additional Skills:
- Willingness to work in a Christian faith-based organization in service to adults with intellectual and resident, developmental disabilities
- Excellent communication skills – strong writer, empathetic listener, direct communicator
- Highly organized – with attention to detail
- Candidate will be required to pass a criminal background check, fingerprinting, drug screen and obtain a negative TB test (paid by Angels’ Place)
- Must have a driver’s license, a good driving record, and dependable transportation (you will be reimbursed for business mileage)
