Executive Assistant

We are seeking a Executive Assistant to be part of the sales team that plays an intricate role in assisting the Sales Director and Sales Manager. The position is for someone with a positive personality, has great communication skills, and who works well with others.
Key Responsibilities
- Be an extremely reliable asset to the Sales Director & Sales Manager
- Manage communications including the creation and distribution of product offers and essential information to the sales team.
- Facilitate interdepartmental communication and task coordination to support sales activities.
- Prepare detailed reports and materials for sales meetings and presentations.
- Coordinate the order process with customers and oversee logistics to ensure smooth operations.
- Handle customer inquiries and provide exceptional support for issues related to purchase orders and AR.
- Maintain and reconcile Accounts Receivable ensuring accuracy and timeliness in billing and collections.
- Participate in downstream & upstream meetings, capture notes, synthesize & prepare information, and ensure follow up between customers & vendors.
- Routinely perform a wide variety of sales support duties
Desired Skills and Experience
- Strong interpersonal skills with an ability to promote a culture of service excellence, collaboration, and trust.
- Proven ability to thrive in a fast-paced, dynamic environment and handle multiple priorities.
- Proficient with Microsoft Office Suite, CRM software, and advanced Excel functions such as Pivot Tables and VLOOKUP.
- Previous experience in customer service, ideally within the liquidation or a related
- industry.
- Bachelor’s degree or equivalent in a related field considered a plus; strong follow-up skills and the ability to work both independently and as part of a team.
- Thrive in a fast-paced dynamic sales environment.
- Previous experience dealing with multiple types of customers including corporate & small business.
- Basic knowledge of Adobe Illustrator or any other design software is considered a plus.
- Ability to work independently and as part of a team.
- Spanish as an additional language is considered a plus

Via Trading’s goal is to ensure fair market-based compensation that is motivating and competitive. The compensation range for this position is an hourly range from $19 per hour depending on experience and qualifications. The base pay offered may be higher or lower depending on job-related knowledge, skills, and experience of the candidate.

Pay: $20.00 - $25.00 per hour
Expected hours: 40 per week
