Position Title: Client Service Coordinator
Position Description:
Step into an instrumental role as a Client Service Coordinator with Pioneer Wealth Planning Group, a private wealth advisory practice of Ameriprise Financial Services. This role will be responsible for providing exceptional service and support to clients, managing client contacts, answering client inquiries, and resolving client service issues. The Client Service Coordinator will facilitate communication with clients, and support how the practice is presented to clients and prospects.
As a Client Service Coordinator, you will be instrumental in creating and delivering a unique client experience that defines and differentiates the practice. This position will consistently follow high standards of business and professional ethics and legal and regulatory requirements when dealing with others and/or performing work activities.
Responsibilities and Time Allocation (may change over time to meet the needs of the practice and can include other duties as assigned by the advisor):
- Attend regular meetings with lead advisor and team for collaboration.
- Manage and increase effectiveness and efficiency through implemented processes as well as coordination and communication between team support and business functions.
- Maintain systems and processes within the team.
- Schedule client appointments and/or webinars for meetings, as needed.
- Conduct client appointment reminder calls and check-in calls on follow up items.
- Lead the practice’s efforts for consistent, proactive contact of clients and prospects.
- Document client contacts/calls in the Ameriprise CRM.
- Prepare / coordinate documentation required for client meetings.
- Maintain files and records in accordance with the firm’s policies.
- Scanning and filing client data.
- Manage incoming/outgoing client service correspondence.
- Maintain the practice’s online presence, including social media platforms and website.
- Assist in the coordination of marketing events and applicable activities.
- Manage process for client recognition and gift ordering.
- Office management responsibilities for ordering/payment of supplies and vendors.

Preferred Experience:
- Bachelor’s degree
- 1-3 years of professional experience in a client service function
