Program Coordinator
JOB SUMMARY
The Office Coordinator functions as the main point of contact for faculty and staff, administrators, other University personnel, clients, vendors, contractors, and the public. This position provides significant administrative support to faculty while coordinating the daily operations of a busy academic office. Critical responsibilities include providing executive support, providing operational support, tracking expenses, overseeing supplies and services, payment of invoices, managing multiple schedules and calendars, preparing presentations, coordinating logistics of major events, handling administrative paperwork, maintaining files and records, and other such responsibilities that one would expect be handled in a professional office setting.
JOB QUALIFICATIONS
· Bachelor’s degree preferred or equivalent administrative experience.
· Highly developed inter-personal facility, with excellent writing, editing, and verbal communication skills.
· Strong analytical and critical thinking abilities. Accounting or similar technical experience preferred.
· Excellent organizational abilities and experience coordinating multiple duties and activities in a timely prioritized manner.
· Proficient in the use of computers and other hardware and software technologies, including but not limited to word processing, scheduling, spreadsheets, graphics, slide-preparation, and e-mail.
· Able to take direction, support faculty effectively, contribute as a team member and work independently.
· Able to work at a stationary area for long periods of time, able to lift up to 20 pounds, remain standing for long intervals, be active.
JOB DUTIES
· Work directly with administration, faculty, housestaff, and staff to support all operational and administrative needs of the office.
· Function as executive assistant for Section Chief and faculty.
· Responsible for managing clinic scheduling, faculty schedules, coordinate between academic and clinical calendars.
· Order supplies, process invoices, submit payments, track and manage expenses.
· Coordinate and run both daily and special events; schedule, set up/tear down, etc…
· Serve as front desk receptionist to office; point of contact for main phones line, liaison with internal and external contacts.
· Track and record faculty CMEs, expenditures, reconcile expense accounts.
· Function independently without clear guidance and under minimal supervision.Must comply with UCMC’s COVID-19 Vaccination requirement as a condition of employment. If you have already received the vaccination, you must provide proof as part of the pre-employment process. This is in addition to your compliance with the Flu Vaccination requirement as well. Medical and religious exemptions will be considered consistent with applicable law. Lastly, a pre-employment physical, drug screening, and background check are also required for all employees prior to hire.
