We are seeking a dedicated Director of Facilities (DOF) to develop best in class systems and execution for facilities. The DOF will evaluate systems and networks to achieve a scalable, secure and sustainable infrastructure for current and future students and staff.
About Merrick Academy
Merrick Academy is one of the first charter schools to open in New York City and the first to open (2000) in Queens. With a rich history and deep roots in the local community, Merrick Academy is an all-inclusive, independent Charter School with approximately 600 students in grades K-5 and a faculty and staff of 90. Queens’ first charter school, Merrick, has been educating children for over 20 years. The Director of Facilities (DOF), will lead the facilities ad security team and be managed by the Chief Operating Officer.
To be successful as a Director of Facilities at Merrick, the ideal candidate must be a problem solver who is creative and builds relationships to reach goals; a coachable leader with a desire to grow as a professional; and a manager with exceptional communication, organization, and critical thinking skills. The top candidate will have excellent listening and observational skills, as well as an empathetic mindset.
Responsibilities of the Director of Facilities include, but are not limited to:
Summer Maintenance Program
- Oversees an annual maintenance program and any capital repair projects needed at each school during the summer recess.
- Repainting of classrooms and hallway
- Replacement of parts, and the repairs to flooring, damaged walls, fixtures, and ceilings
- Issues RFP's (in collaboration with Director of Operations), decides if the project will be done in-house or solicits proposals, selects a general contractor, and oversees the contractor's performance on the work.
Facility Enhancements
- Constantly seeks to improve the facilities to correct evident defects and weaknesses.
Compliance
- Oversee all buildings for compliance with city and state regulations, agencies such as FDNY, DEP, and DOB.
- Handles any written violations for regulation infringement
- Respond and appropriately resolve any violations
Budgeting and Estimating Cost
- Oversees the maintenance and repair budgets
- Assist the finance team in creating the annual budgets for the department. Estimate repair projects accurately (boiler replacement, AC unit replacement, roofing replacement, and large-scale painting projects)
Cleaning
- Oversee the cleaning contractors
- Inspecting the quality of work
- Developing daily cleaning routine for schools
- Developing relationships and having regular meetings with the contractors
- Negotiating annual contract renewals.
Safety
- Being available on a 24-hour basis to respond as necessary to any building emergencies
- Support safety efforts across all schools and provide feedback on safety effort
- Auditing safety protocols
- Partnering with the Network Team to improve the process year by year
New Site Construction
- Monitor any construction activity at assigned properties to ensure compliance with approved plans and standard building procedures.
Personnel
- Focus on creating a work environment that attracts, develops and retains talent in order to meet current and future challenges
- Identify and develop succession plans for facilities leadership and onboarding of new staff.
Deliverables
- Develop annual facility plan compliance plan.
- Perform annual evaluations for direct reports and ensure indirect reports have an evaluation.
- Develop an annual evaluation metric to measure vendor effectiveness.
- Monthly board meeting updates including dashboards for presentation.
- Develop a project management tool for tracking systems as they relate to Facilities.
Qualifications
- Bachelor's Degree in Property Management, Facilities Management, Engineering, or related field. International Facilities Management Association (IFMA), preferred.
- 3-5 years of facility management, including oversight and management of multiple locations experience
- Ability to read, analyze, and interpret city regulations
- Ability to apply concepts such as formulas, fractions, percentages, ratios, and proportions to practical situations
- Ability to solve practical problems and deal with multiple variables
- Ability to interpret a variety of instruction manuals
- Ability to interpret construction drawings
- Project management skills
- Comfort and skill in negotiating favorable outcomes
- Working knowledge of RFP processes
- Strong analytical and decision-making skills
- Familiarity with construction processes and trades
- May assume other tasks and responsibilities as assigned by his/her/their designee.
- Completion and pass pre-employment Fingerprinting and Reference check process
- Legally eligible to work in the United States
