The Director of Operations manages school safety and security, facilities maintenance, human resources, nutrition and regulatory compliance. On a day-to-day basis, the Director of Operations will ensure that the school environment is clean, comfortable and safe.
Reports to: Chief Operations Officer and School Principal
PERFORMANCE RESPONSIBILITIES:
Local School Operations

Supports development of school policies and procedures and enforces it with stakeholders

Leads logistical planning for school-wide events including school field trips

Coordinates and oversees school-wide operational processes
-
Oversees operations of informational technology systems (Infinite Campus, SchoolMint, ParentSquare, district software)

Manages the school’s front office team
Enrollment & Registration
-
Develops and manages student enrollment strategy to help ensure that the school begins the academic year with full classes and actively fills open seats

Manages student enrollment and re-enrollment cycles from start to finish – utilizing the student information system, physical records, and executing an annual lottery

Collaborates with the school and network leadership teams to meet enrollment targets
School Nutrition Program

Manage relationship with food service vendors and the school to ensure efficient food distribution for all students

Handle regulatory compliance, such as the national school lunch application process and nutrition grant fund reporting
Facilities Maintenance

Directly supervise the janitorial and maintenance staff with a team-player attitude and strong customer-service orientation

Coordinates maintenance efforts with outside contractors and technicians in collaboration with Maintenance Supervisor

Ensure the school facilities are safe, clean and highly operational throughout the year

Ensure facilities are in compliance with local, state and federal regulations
-
Manage building repairs and improvements processes with internal and external technians and vendors
-
Manage capital improvement funding, budget, and documentation
-
Maintain and audit facilities equipment inventories
-
Schedule routine mechanical systems and equipment inspections
Safety & Security
-
Ensures that the school is safe, secure and prepared for emergencies
-
Leads development and Implementation of all safety procedures, including the development and communication of the school's safety and emergency plan, school entry and exit transitions

Coordinates SRO schedules to ensure the school has appropriate coverage during daily operations and special events

Manage the school site alarm and surveillance system technology and collaborate with APS safety and security office as needed

Manages routine safety inspections as required by local, state and federal authorities
Bookkeeping & Budgeting
-
Works closely with the principal to develop the school’s annual budget and actively manages the school budget throughout the year
-
Completes weekly credit and deposit reconciliations
-
Ensures all billed services and vendor accounts are paid in a timely manner
-
Manages all invoice and receipt data entry
-
Completes timely monthly reconciliation and financial reporting for school and annual audit
-
Manages expense and account reporting of all grant-related funds to internal and external stakeholders and other required entities
Technology Support
-
Ensures that students and staff have access to needed technology and works with network technology team to plan technology related enhancements

Manages the school’s supply and asset inventory (e.g. computers, textbooks)

Tracks disbursement of school technology to staff and students

Serves as the on site Google Administrator and manages GoGuardian software
-
Assist staff IT troubleshooting as needed
-
Serves as school based point of contact for IT services
Procurement

Manages the school purchasing process by establishing clear systems for staff to request items, placing orders with vendors, tracking delivery, and coding and submitting purchases orders, invoices, and reimbursement requests; approves school purchases under a specific financial threshold

Manages all granted funded procurement processes and documentation including Title I, CSP, and Safety & Security

Leads the school Day One process each year to ensure the school is ready to open by ordering furniture, equipment, instructional supplies, and ensuring that student services (e.g. food service, transportation) are ready
Human Resources

Prepares weekly time-sheet entry school for school based hourly staff

Assist with onboarding and offboarding of school based employees
Health Services

Manages the school licensed practical nurse and health services programming

Ensures school meets all compliance-related student data requirements
