The City of Ontario reserves the right, if necessary, to accept only the first one hundred (100) applications from applicants that meet the qualification guidelines below. Additionally, the following procedures will apply:
- Separate Promotional and Open (external) Eligibility Lists will be established.
- The Promotional Eligibility List will be comprised of current City employees (full or part- time) who meet the minimum qualifications and successfully complete any required selection processes.
- The Open Eligibility List will consist of external applicants who meet the minimum qualifications and successfully complete any required selection processes.
- The hiring department will consider the Promotional Eligibility List prior to considering candidates on the Open Eligibility List.
Examples of Essential Functions
The essential functions typically performed by the Office Assistant include the following:
- Answers incoming calls, takes messages, routes individuals to appropriate staff and/or locations.
- Schedules meetings at the direction of supervisory staff.
- Assists public at counter/front desk and directs persons to appropriate locations and/or staff.
- Types and verifies information in basic forms and documents.
- Sorts incoming mail and prepares outgoing mail.
- Enters specific information into computer databases.
- Copies, faxes, and distributes documents.
- Sorts, checks, and files basic records.
- Orders and maintains office supplies.
- Establishes and maintains files for department memos, correspondence, contracts, agreements, City departments, purchase orders, and miscellaneous information.
- Maintains Conference Room and EOC reservation logbooks.
Qualification Guidelines
Education
High school diploma or recognized equivalent.
Experience
Six months of varied clerical support experience, preferably involving some public contact work; experience and/or training in the use of Microsoft Office products.
Desirable
Some familiarity with other personnel and information systems and software applications.
