SUMMARY
Under the general supervision of the Vice President of Health Center Operations, the Health Center Administrative Assistant provides administrative support for the Health Center Senior Management staff.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1) Assists management with administrative responsibilities and special projects.
2) Provides support and assists with special projects related to funding requirements and/or compliance with FQHC requirements.
3) Provides assistance and necessary support to senior management staff to gain needed information for outcome studies, such as preparing surveys, conducting research and preparing reports in accordance with program, PCH policy and funding requirements.
4) Updates forms, policies, and procedures as requested. Copies and assembles packets of information as needed.
5) Compiles and computerizes statistical reports via a data base and spreadsheet system.
6) Compiles statistics from a variety of materials for multiple funders
7) Performs various office tasks such as photocopying, faxing, making phone calls, ordering and maintaining supplies as directed.
8) Compiles and prepares routine correspondence, reports and statistical data.
9) Produces reports for the Health Center Management team as needed.
10) Assists in preparing reports as required by funding sources.
11) Prepares, distributes, and mails materials in a timely fashion to staff, patients and funding sources.
12) Determines how to relay questions and inquiries, prioritize, channel, and facilitate communications within and outside of the company.
13) Ensures that requests for immediate action or information are relayed with a sense of urgency to the appropriate person(s)
14) Communicates professionally and effectively with co-workers, managers, directors, the general public, representatives of public and private organizations and others sufficient to exchange or convey information.
15) Prepares materials for meetings.
16) Transcribes minutes of meetings as directed.
17) Maintains confidentiality and compliance as required by Pillars Community Health.

EDUCATION & EXPERIENCE
High School diploma or equivalent combination of education and training. Prior experience working in an administrative support role in a medical office or health center environment is required.
LANGUAGE
Bilingual fluency in Spanish preferred.
