Executive Assistant to the CEO
K&D Landscaping Inc. is a family-owned and operated business that has been servicing the tri-county area for over 35 years. K&D employs over 120 people in the local area and continues to grow. A K&D project is easily recognized throughout the community for its high quality and attention to detail. Building on previous generations, K&D continues the tradition of giving back to their community by performing multiple beautification projects every year. Position Summary
This is an in person position located in Watsonville, CA. In this position you will be the executive assistant to K&D Landscaping’s CEO. K&D is led by a 2nd generation CEO and has goals of scaling the company to 300 employees by 2030. Your main responsibility will be to help the CEO become more effective and to assist in strategic initiatives that result in company growth. This job’s duties call for someone who can shift smoothly as priorities and demands change. The person in the role needs to be flexible, versatile, and even-keeled. The job may ask them to display empathy and build bridges with colleagues. They may also occasionally be expected to serve as a dynamic thought partner and innovative leader, based on their broad understanding of the business, its progress, and its current needs. Technical expertise may not be required in every area. Still, a baseline understanding of different systems and processes throughout the organization will be essential. This person may be asked to serve as a liaison and translator between teams, helping others get up to speed even when they have just a general understanding of a concept or project. They will be critical in balancing conflict, both in terms of work priorities and when differences in opinion arise. They must display an inherent sense for team dynamics - understanding when to be vocal, when to motivate others more subtly, when to delegate, and when to let team members work things out on their own.
Responsibilities
- Create a positive impact on culture and employee success at K&D
- Be a lead project manager for strategic initiatives with the leadership/executive team
- Attend all meetings CEO is in and develop timely and detailed notes. As the EA you will be an “assistant executive”, sitting in on meetings and participating in company-wide projects
- Provide follow up on assignments given to employees within the organization from the CEO
- Manage CEO’s email
- Manage and arrange calendar
- Assist with marketing of K&D
- Manage and organize digital files and assets
- Assist with quarterly and annual tax processing and document organization for CEO/shareholders
- Collect financial information on a daily basis from ERP and present a flash report for CEO
- Be a point of contact for internal and external communications for CEO
- Manage CEO’s To-Do’s List, help organize and prioritize deliverables
- Research and book travel accommodations
- Assist with CEO’s coaching company as needed
Requirements
- Minimum of 2 years experience working as an executive assistant (5 years preferred)
- Work 3 days a week in the Watsonville office, partial remote position
- Experience with a service business or a larger company over 300 employees
- Experience with companies that have completed M&A growth
- Formal executive assistant training is a plus
- Self disciplined and organized
- Excellent communication and professional skills
- Have a positive attitude and a desire to assist with all tasks, errands, & requests
- Having a high-business acumen and the ability to participate in high-level discussions
- Ability to be a sounding board for the CEO, assist with making strategic decisions and brainstorming solutions. This will often involve information that only the CEO has access to
Job Type: Full-time
Pay: $80,000.00 - $95,000.00 per year
