Established Chicago Architecture firm located in the Loop, is looking for an experienced full-service Bookkeeper to join our team. The bookkeeper works closely with the organization’s partners, staff, and outside vendors and customers. This position is suitable for an experienced independent contractor with a bookkeeping business or part-time employee (15-20 hours/week). Schedule is flexible. Most work can be conducted remotely, but a minimum of 1 day per week in our downtown office is preferred.
Responsibilities include:
- Utilize QuickBooks software to manage financial transactions including purchases, sales, receipts, and payments.
- Conduct bank and credit card account reconciliation and maintain accurate financial records.
- Prepare invoice packages for approval by Project Managers, including all applicable backup required by contract terms. Submit invoice packages to clients, often through online portals.
- Assist in account analysis and provide financial reporting to identify discrepancies and resolve issues.
- Communication with vendors/consultants/clients including following up on outstanding accounts receivable.
- Assist with submitting payroll reports to outside vendor (Paychex), and assist with tracking of employee PTO.
Qualifications:
- Proven experience as a Bookkeeper.
- Excellent attention to detail and accuracy in recording.
- Ability to coordinate and manage multiple projects/client specific approaches with multiple project managers.
- High level of proficiency with QuickBooks and Excel; Quick Books certification is a plus.
- Experience with service-industry businesses preferred.
