JOB DESCRIPTION
The receptionist is the first line of contact for all employees and clients. They must have a positive and inviting personality to communicate effectively with all staff and attorneys. They will be responsible for directing calls and clients to the appropriate departments. The receptionist is expected to foster a positive work environment for all employees as well as coordinating conference room setups and depositions based on an attorney’s individual needs.

DUTIES AND RESPONSIBILITIES
- Meet and greet clients as they arrive to the office
- Contact personnel as requested by visitors
- Operate telephone directory for incoming and outgoing calls
- Direct incoming calls to the appropriate departments
- Order food for office-wide events, department lunches, etc.
- Occasionally work evening events during the week
- Schedule and maintain calendar for conferences throughout the week
- Resolve conference room conflicts by proposing alternative solutions
- Process paperwork for new employee badges and parking access
- Assist Facilities by reporting serviceable issues (i.e., lights going out) to the building via a ticketing system
- Coordinate with I.T., Marketing, Catering Assistant, and Facilities with setups for upcoming meetings and conferences
- Maintain the cleanliness of the lobby and reception area to be presentable to clients
- Assist other departments as a file clerk during busy periods
- Train others on using the various software and phone directory
- Lock main door at every office closing time
