Job Summary:
The Assistant is responsible for providing administrative and logistical support in the planning, coordination, and execution of the gala dinner for AFOBIS. This role requires excellent organizational skills, attention to detail, and the ability to shadow the coordinator and help in daily tasks as needed, including assistance in managing event logistics, maintaining event spreadsheets and communicating with donors and vendors, and ensuring the smooth execution of this event, on site.
Event /Administrative Support:
· Organized and detail oriented.
· Manage event registration, attendee lists, and RSVPs.
· Assist in distribution of event-related materials, such as invitations, programs, and promotional materials.
· Track expenses and all event-related invoices.
· Handle general administrative tasks, including answering inquiries, managing correspondence, and organizing documents.
· Interact with donors, sponsors, and vendors to understand event requirements and provide necessary information.
· Assist in coordination with speakers and presenters to ensure their needs are met and they are well-prepared for the event.
On-site Event Support:
· Assist in the setup, breakdown, and coordination of event logistics on-site.
· Manage event registration, check-ins, and attendee inquiries.
· Coordinate with vendors and oversee the smooth operation of event-related services, such as Setup the room and audiovisual, transportation.
· Assist in addressing any issues or emergencies that may arise during events.
Qualifications:
Previous experience in event planning or a related field is preferred.
Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
Strong attention to detail and ability to maintain accuracy in a fast-paced environment.
Excellent written and verbal communication skills.
Flexibility to work varying hours and increase time as event approaches.
Must be available all day of actual event, October 15th 2023, two days before and one day after to debrief.
