11am-7pm Monday and Wednesday, 10am-6pm Tuesday and Thursday, and 9am-5pm Friday
Receptionist Duties and Responsibilities include the following:
- Greets patients and visitors in a courteous and professional manner as they enter the office
- Answers incoming telephone calls in a courteous manner on a multi-line telephone system, routes calls or takes accurate messages in accordance with approved procedures
- Works efficiently using our Electronic Medical Records System daily
- Schedules and cancels patient appointments and notifies clinicians when necessary
- Completes work that is routed through the in-box throughout the course of the day
- Collects co-payments and past due balances and assists patients with basic billing inquiries
- Interacts with patients and their families in a compassionate manner
- Operates standard office equipment including computer, printer, fax machine, copy machine, and postage meter
- Sends and distributes faxes to the appropriate location
- Follows all designated opening and closing procedures for the reception area, waiting rooms, coffee room and break area
- Assists in the training of new support staff members
- Notifies the Operations Manager of necessary equipment repairs, general maintenance needs and requests to order additional supplies
- Works effectively on a daily basis with all professional staff, support staff and management
- Contacts new patients regarding outstanding registration forms
- Will work closely with Billing Dept performing data entry and researching information
- Performs all record room duties as outlined in the records room coordinator description
- Assists with distribution or proper storage of office supply deliveries
- Other duties as assigned

Education/Experience: High school diploma or general education degree (GED) and one year related experience and/or training, preferably in a clinic environment
Special Skills: Proficient in Microsoft Office Suite and with internet navigation; ability to read and comprehend simple instructions, correspondence and memos; basic knowledge of math and application to units of American money; proficiency with written and oral communication; strong customer service and telephone etiquette; ability to multi-task; work independently and in a team
Overall Responsibility: Responsible for acting as the initial point of contact in person and over the phone for all clinic patients. Manage clinician schedules by creating, cancelling and moving appointments. Respond to inquiries, coordinate and maintain documentation and complete administrative tasks.
Physical Requirements: Combination of sitting, walking and standing; ability to lift and move up to 20 pounds; ability to climb stairs; frequent use of hands for typing and writing; speaking and hearing
Qualifications: To perform this job successfully, an individual must be able to perform all duties and responsibilities satisfactorily. The individual is required to multi-task, meet deadlines in a busy office setting and apply good judgment in solving problems. The individual must be able to provide good customer service in interactions with patients as well as the general public. The individual must follow all company policies and procedures and strictly maintain patient and practice confidentiality at all times.
Terms of Employment: This is a fulltime non-exempt position, Monday through Friday
