Front Desk Team Lead
Job Description:
Reports To: Front office Manager
Location: Philadelphia, PA (Rittenhouse Square)
Our facility dedicated to the health and well-being of women. We offer a range of services, including primary care, gynecology, fertility, mental health support, and spa therapies.
Requirements: Minimum 3 years’ experience in leadership role
Responsibilities:
- Oversee daily operations of the front desk, ensuring smooth and efficient service
- Development of front desk staff and call center schedule
- Scheduling of all patient/clients appointments
- Checking in patients/clients and verifying insurance;
- Develop and maintain superior levels of patient/client satisfaction through the continuous process of high quality service;
- Act as liaison between physician and all other professionals in the wellness center - Resolves patient problems quickly, efficiently, and courteously
- Maintained effective communication with all staff
- Collection of co-pays and other payments
- Manage the day to day operations of multi-professional medical practice
- Operate multi-line phone system
- Daily cash reporting
- Maintain filing systems
- Support executive administration in all other aspects on projects as assigned;
- Manage and train front desk staff, fostering a positive and professional team environment
- Maintains safe, secure, and healthy environment by enforcing organization standards and procedures, and legal regulations;
- Maintains patient confidence as set forth by HIPAA and protects organization reputation by keeping information confidential; enforcing legal requirements;
- Directly supervises all front office personnel and ensures proper completion of all front office duties. Directs and coordinates the activities of the front desk/call center;
- Supervises workload during shifts
Requirements:
- Previous experience in a front desk or customer service role, preferably in a wellness or healthcare setting
- Proven leadership and team management skills
- Exceptional communication and interpersonal abilities
- Strong organizational skills and attention to detail
- Ability to multitask and handle high-pressure situations with grace
- Proficiency in using booking and scheduling software
