Job Description:
Lumenor Consulting Group is looking for a Document Control Specialist to facilitate document control activities for a large capital improvement program of a major transit agency in the DC Metro area. The ideal candidate will have the ability to work in a high volume, multiple task environment, and will have experience managing documents for architecture and engineering firms.
Job Summary/Duties:
- Assure document control and retention practices are in compliance with Client and program guidelines.
- Manage documents received, stored, and distributed through established systems of record, and perform quality reviews to ensure program specifications are met.
- Confirm that current and approved project forms are available to all project stakeholders.
- Manage user access and permissions of client systems of record.
- Create and update folder structures and file naming conventions.
- Scan, image, organize and maintain documents/filing system, adhering to document control procedures.
- Develop and implement document control procedures and policies.
- Provide training and support to the program team and other users on document control processes and tools.
- Prepare and generate reports and metrics on document control activities
- Ensure that all contract deliverables and services are properly delivered to the client for acceptance within the contractual schedule.
- Other duties as assigned.
Minimum Requirements:
- Bachelor’s degree from an accredited university in Engineering, Business, or related field.
- 7+ years of experience in a document management and control role.
- Experience working with hard copy and digital documents, file management, and performing quality control checks.
- High level of proficiency with Microsoft 365 applications including SharePoint.
- Knowledge of document management standards and best practices.
- Strong organizational skills and attention to detail.
- Ability to handle multiple tasks and prioritize deadlines.
- Ability to clearly and professionally communicate both verbally and in writing.
Preferred Qualifications/Skills:
- Local to the D.C. metropolitan area. This is anticipated to be a hybrid position, with 3 days per week reporting to an office.
- 3+ years working with an architectural and engineering firm.
- Proficient in document control software and tools, such as SharePoint, Procore, and eBuilder.
- Experience working with secure contract documents, reports, and plans for infrastructure that may be classified as sensitive information.
