Job Summary:
We are seeking a detail-oriented and analytical Purchasing Coordinator to join our team. The primary responsibility of this role is to monitor inventory levels, analyze data, and identify trends related to shrinkage and shorts for sales. The ideal candidate will possess strong analytical skills, a keen attention to detail, and the ability to communicate findings effectively.
Essential functions:
- Provide insights and recommendations to optimize inventory management processes and minimize losses of assigned suppliers.
- Responsible for answering incoming phone calls from vendors and re-directing them, as needed.
- Responsible for proper filing of all paperwork, claims, invoices, inventory books, etc .
- Responsible of proper filling of container seal and paperwork.
- Responsible for filing inventory adjustments and registering in Monthly Shrink Report, as needed.
- Responsible for digitally filing incoming POs invoices in Sharepoint of assigned suppliers.
- Responsible for following purchasing and logistics SOPs.
- Support sales team with product information requests of assigned suppliers.
- Responsible for maintaining spec sheets/product images of assigned suppliers.
- Responsible to maintain catalog current with new/discontinued items of assigned suppliers.
- Responsible to file all inventory transfers.
- Maintain and submit reports of purchasing and inventory data to Purchasing Manager and Director of Operations.
- Assist in weekly, monthly and annual Physical Inventory.
- Adherence to all federal, state and municipal health and safety regulations.
- Assist with operations as needed and as requested by Director of Operations.
- Provide initial information of assigned supplier product availability to Sales Team.
- Fill in for any additional responsibilities in case of Purchasing Manager or other co-workers’ absences.
Work environment:
- This position typically operates in an office environment, but may require occasional visits to the warehouse, cooler and/or freezer storage space.
What you need to succeed?
- Bachelor's degree in business administration, supply chain management, or a related field.
- Proven experience in inventory management, preferably in a retail or distribution environment.
- Strong analytical skills with the ability to interpret data and draw actionable insights.
- Proficiency in Microsoft Excel or other data analysis tools.
- Excellent communication and interpersonal skills.
- Ability to work independently and collaborate effectively with cross-functional teams.
- Detail-oriented with a high level of accuracy in data analysis and reporting.
- Knowledge of inventory management software is a plus.
