A prominent real estate company is seeking a dynamic and experienced Regional Office Administrator (OA) to oversee several offices in the Arvada and surrounding areas. This role requires regular travel between offices and involves the oversight of specialty pods which includes a 6 person team, as well as providing robust support to Managing Brokers.
Key Responsibilities:
- Overseeing Specialty Pods:
- Coordinate and manage specialty pods focused on Marketing, Event Planning, Transaction File Management, Onboarding/Training
- Ensure each pod operates efficiently and meets its objectives.
- Facilitate collaboration and knowledge sharing among staff members within each specialty pod.
Marketing:
- Ensure compliance with marketing and social media requirements.
- Serve as the subject matter expert for Branding Guide-related questions.
- Collaborate with Directors to develop and utilize a Social Media Library.
- Manage and create Facebook and Instagram pages.
- Identify and coordinate sponsorship opportunities and company events.
- Develop a weekly communication channel to announce events, updates, and recognitions.
Transaction File Management
- Serve as the key point of contact for system questions.
- Assist agents with day to day requests.
- Process commission, referral, and agent invoice payments/checks.
- Ensure accurate processing of agent monthly invoicing and billing profiles.
- Review financial reports with Management to ensure a profitable office.
Onboarding/Training:
- Schedule and facilitate 1:1 onboarding sessions with new agents.
- Build relationships with company training experts for various programs.
- Promote key partners established within our organization
- Manage the monthly floor duty calendar and send weekly reminders.
- Address no-shows and encourage agent participation in floor duty.
- Develop a system to track business generated from floor duty.
- Maintain supply inventory and ensure the overall functionality and appearance of the offices.
Objectives:
- Enhance operational efficiency by managing specialized teams (specialty pods) for specific tasks.
- Improve service delivery by assigning dedicated resources to key functions.
- Foster collaboration and knowledge sharing among staff members within each specialty pod.
- Optimize resource allocation and workload distribution to ensure timely and effective task completion.
Qualifications:
- Proven experience in office administration or a related field.
- Strong organizational and leadership skills.
- Excellent communication and interpersonal abilities.
- Ability to manage multiple tasks and priorities.
- Familiarity with digital collaboration tools and office management software.
- Background in real estate is a plus.
- Experience in G suite and/or Microsoft Office
Salary Range: $58,000 - $65,000 annually
Schedule: Full-Time, 40 hrs. Per week
