The Receptionist/Administrative Assistant position involves answering phones, sorting mail, filing paperwork, maintaining office supplies, logging credit card receipts, maintaining a tracking system, and submitting invoice information. The ideal candidate should have experience with Microsoft office, customer service, and at least 2 years of experience. This is not a remote position. Bilingual skills are a plus and a clean criminal background is required.
Responsibilities:
- Greet and welcome visitors in a professional and friendly manner
- Answer and direct phone calls, take messages, and provide information to callers
- Maintain a clean and organized reception area
- Schedule appointments and manage calendars
- Transcribe and distribute meeting minutes
- Coordinate and assist with event planning and preparation
- Perform various administrative tasks such as filing, photocopying, and data entry
- Provide general administrative support to staff members
Experience:
- Previous experience in a clerical or administrative role preferred
- Strong phone etiquette and communication skills
- Ability to transcribe accurately and efficiently
- Experience with event planning is a plus
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with office equipment such as printers, scanners, and fax machines
- Excellent organizational skills and attention to detail
- Ability to prioritize tasks and manage time effectively
- Customer service-oriented mindset
