The Arlington County Treasurer is seeking an Administrative Specialist to provide functional office-wide administrative support and serve as a liaison to internal and external organizations, including budget tracking and preparation, as well as special projects assigned by the Treasurer. This position performs a variety of front-line customer service, technical, and administrative duties in support of the Division and the Department. The Treasurer's Office serves an ethnically and culturally diverse population that includes many Spanish-speaking clients for whom English is a second language.
Specific Duties Include:
Processing invoices for charges incurred by the Treasurer's Office, to include setting up blanket purchase orders at the start of each budget cycle and managing them throughout the fiscal year;
Tracking all office expenditures, including vendor services such as printing and postage, operating supplies, travel, training, etc., no matter how the expense was incurred or paid;
Assisting with the preparation of the County and State budgets, as well as monitoring them at every stage of the budget cycle;
Tracking and managing office contracts, abatements, Estate Verifications, and Facilities requests;
Preparing documents needed to maintain Office Accreditation with Treasurer’s Association of Virginia (TAV), or in response to an accreditation audit from the TAV;
Assisting with onboarding new employees and offboarding departing employees; and
Performing other duties as assigned.
The ideal candidate will demonstrate effective verbal and written communication skills, flexibility, self-motivation, time-management skills, empathy for customers, and the ability to remain professional and calm in a high-volume, fast-paced customer service environment. This position requires the ability to multitask and alternate between in-person counter duties and back-office desk duties as needed. The candidate must be detail-oriented and adept with technology and with using multiple complex systems at the same time, while eliciting, understanding and advocating for customer needs.
Minimum:
Completion of the requirements for graduation from a standard senior high school or vocational school, a GED certificate, or the equivalent; and
Considerable experience performing administrative support, preferably in a related program area.
Substitution: Successful completion of college coursework from an accredited college or university may be substituted for the experience requirement.
Desirable: Preference may be given to candidates with experience using a wide range of software programs, specifically Microsoft Office Suite or similar software to perform program support functions.
Background Check: A pre-employment criminal records check will be conducted. It may include checks of the following: criminal record, driving record, education, professional licensure, and credit history. You may be required to sign a release authorizing the County to obtain your background information.
The pay ranges listed above are effective July 1, 2024.
Work Hours: Monday through Friday 8 AM to 5 PM; This is not a remote opportunity; employees are expected to be in the office full time.
