Job Description
We are seeking a dynamic and detail-oriented Legal Administrator to join our team. In this role, you will be largely responsible for managing employees, human resources, legal matters, vendor relations alongside other administrative responsibilities to support our team. Responsibilities
- Accurately entering data into the QuickBooks software and ensuring all information is up-to-date and issuing payments when necessary.
- Assisting with the entry of purchase orders and invoices as needed.
- Performing general administrative tasks such as photocopying, emailing, faxing, and mailing.
- Handling office communications, including answering phones, monitoring and responding to emails, Interfacing with clients, vendors, employees and other relations.
- Gather, analyze and complete assignments of importance such as DMV, Insurance policies, State and other legal filings.
- Assisting legal counsel with legal processes, such as gathering, analizing, and reporting information necessary for claims.
- Handling all aspects of human resources, writing and implementing policies, working closely with employees to enforce such policies.
- Coordinating and scheduling appointments, meetings, and conferences with employees, supervisors, or other.
- Organizing and maintaining employee records, attendance, schedules, time tracking. policies, filing systems, both digital and physical.
- Managing daily operations for shop and assist with employee work schedules, and job duties.
Develop, implement and maintain employee handbook, policies, incidents, and time off requests.
Develop, implement and maintain safety program. Coordinate safety meetings, policies and training for employees and supervisors.
- Assisting in other duties as assigned, to ensure smooth office operations.
Requirements
- Previous experience with human resources
- California employment laws
- Previous experience / knowledge in legal matters.
- Previous experience in an administrative or secretarial role preferred.
- Proficiency in QuickBooks software is a must.
- Excellent data entry skills with high attention to detail and accuracy.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Solid communication skills, both written and verbal.
- Demonstrated ability to maintain confidentiality.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work full-time.
- A proactive approach to problem-solving with strong decision-making skills.
Qualifications
- High school diploma required; Associate’s or Bachelor’s degree in a relevant field is a plus.
- Experience in a similar role: 2-5 years (preferred).
